Overview

Role : Renewals Associate (APAC Hours). Department : MIS / RRG / Business Ops. Location : Kuala Lumpur, Malaysia. Role Type : Hybrid, Full-time. The Renewals Team plays a vital function at IPC, focusing on renewing maintenance contracts and subscriptions to drive revenue and client success. The team collaborates cross-functionally with sales, finance, and project management to ensure timely renewal and accurate administration of agreements. The position reports to the Senior Manager, Renewals and Lifecycle Management.

The role is part of a small, growing Renewals Organization and requires flexibility to respond to changing business needs.

Job Responsibilities

• Coordinate and manage maintenance and subscription agreements from new sales and existing customers, ensuring timely application and renewal.
• Gain knowledge of Salesforce contract and billing modules and coordinate with Project Managers for cutover reports, letters of acceptance, and key documentation.
• Coordinate with Remedy 8 and IPC install base knowledge to ensure correct association of sold install base to customer records in Salesforce.
• Review, analyze, and prepare customer schedules; escalate issues and non-standard requests to managers as needed.
• Incorporate moves, adds, and changes (MACs) into maintenance agreements during renewal processes.
• Prepare consumption reports and renewals for subscription customers in Salesforce; maintain IPC’s contract management register (Salesforce) for easy access to key terms.
• Ensure timely preparation of maintenance agreement schedules and coordinate with IPC finance; respond to queries or escalate when appropriate.
• Collaborate with project management to onboard new customer contracts and projects for current customer base.
• Proactively handle contract-related queries, performance issues, and compliance, coordinating with the manager as needed.
• Identify and address end-of-life software sales items, involving the right IPC personnel for resolution.
• Regularly review Open Maintenance and Upcoming Contracts Renewal reports and provide timely analyses on request.
• Take initiative on projects impacting the Renewals organization and maintain effective communication with the manager.
• Maintain professional development and continuous learning in line with role expectations.
