We are looking for a detail-oriented and responsible Department Assistant to support the daily administrative operations of our Maintenance & Engineering Department & Production Department (2 vacancies). This role involves handling purchasing documents, training records, supporting audits, ISO documentation, invoicing, and general coordination tasks.

Key Responsibilities :

  • Prepare and manage purchasing documents (PR / PO), follow up with vendors and suppliers.
  • Handle invoice processing, filing, and internal verification.
  • Maintain up-to-date training records, internal memos, and staff documentation.
  • Assist with ISO documentation, compliance files, and audit preparation.
  • Perform record keeping, tracking of equipment or calibration files, and administrative logs.
  • File and manage documentation related to safety, quality, and operations.
  • Liaise with internal teams & other department for cross-departmental coordination.
  • Handle general office tasks including meeting arrangements, data entry, and scheduling.
  • Ensure documentation is well-organized, accessible, and audit-ready.

Requirements :

  • Diploma or Certificate in Business Administration, Office Management, or related field.
  • Minimum 2 years of experience in administrative or department assistant roles (preferably in manufacturing).
  • Familiar with ISO standards and documentation practices (ISO 9001, FSSC 22000 is a plus).
  • Organized, proactive, and able to work independently with minimal supervision.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and basic documentation systems.
