Branch Administrator

Certificate or Diploma holder or any related field with a minimum of 2-3 years in administration. Preferably in heavy equipment, automotive or industrial sector. Experience in handling job documentation, billing process, PO / PR etc. Possess good interpersonal communication skills and analytical thinking in addition to positive aptitude and attitude. Fluent in spoken and written in English & Bahasa Melayu. Ability to effectively use and maintain office equipment.

Responsibilities

Assist Head, Branch in the overall supervision in the Admin Department. Report to Head, Branch of any deviation of the Finance standing instructions and procedures. Assist Head, Branch in the monitoring of proper usage of company’s vehicles, monitoring the insurance coverage, road tax and repairs of the various department vehicles. Liaise with other departments on all personnel and administrative functions assigned by the Head, Branch. Assist Head, Branch in the preparation of the Account / Administration Department internal budget after consultation with Head, Branch. Prepare and verify monthly accounting reconciliation statements, effect adjustments when necessary and analyze Branch Operation Statement to highlight substantial variances. Conduct weekly Perpetual Caterpillar and other Non-Cat parts stock checks, annual stock checks on consumable store stock, New / Used Equipment and attachments, and other subsidiaries’ annual stock checks as instructed by the Accountant at Head Office. Prepare sales quotations, machine delivery documents and perform sales administrative duties.
