Responsibilities & Duties
- As a Bain & Company Manager Assistant (MA), provide administrative support to several Leaders and their teams, including managing complex calendars and meeting scheduling, coordination of travel plans, and thorough expense reporting.
- Frequent communication and collaboration with other Manager Assistants and Executive Assistants (EA) is required.
- Work remotely from the people you support; excellent interpersonal skills and the ability to build strong working relationships without face-to-face interaction are essential.
- This MA position primarily supports the Japan region; you will work with other MAs regionally and with administrative staff remotely in APAC to provide coverage for Bain’s executive team.
- Additional duties may include providing administrative support for office matters (Reception, Finance, Marketing, HR, IT).
This role description reflects that you may be required to support people in other time zones and potentially work on public holidays. An alternative day off will be provided when required.
Responsibilities
Coordinate complex calendars and schedule both internal and external meetingsResolve scheduling conflicts and prioritize issues for effective time managementCoordinate detailed travel arrangements with travel services, including air, hotel, and carProactively support Senior Managers and Associate Partners with CRM activities and data accuracyBack-up support to other MAs / EAs; collaborate to maintain task awareness and prioritiesBuild long-lasting professional relationships with MAs / EAs and project teamsSubmit detailed expense reports and manage the audit process for reimbursementCoordinate project start-up processes, schedules, and deadlinesContribute to MA team culture and assist in training new members; participate in team eventsPerform other related duties as requiredYou may be required to work in other time zones and on public holidays. Alternative days off will be provided as appropriate.
Qualifications
Bachelor’s degree or equivalent3+ years of experience supporting management or in an administrative / secretarial roleVery good knowledge of Microsoft OutlookExcellent written and verbal communication skills in English (business level)Japanese language : Native level proficiency requiredStrong organizational, prioritization, and time management skills with meticulous attention to detailSeniority level
