  • Role Purpose

    Support daily operations across procurement & sourcing, license applications, contract renewals, and HR administration, ensuring compliance, cost-effectiveness, and timely delivery of business needs. This role partners closely with Operations, HR, Finance, and Business Units to keep processes efficient and audit ready.

    Key Responsibilities :

    1.    Purchasing & Sourcing

  • Execute end-to-end purchasing : PR → RFQ → quotation comparison → PO → GRN coordination → supplier invoice handover to Finance.
  • Build and maintain vendor lists; run RFQs, evaluate TCO (price, lead time, warranty, service).
  • Track deliveries, resolve discrepancies / returns, and maintain accurate procurement records.
  • Monitor stock-out risks with requestors; propose buffer levels / reorder points for critical items.
  • Drive cost saving initiatives (e.g., vendor consolidation, payment terms improvement).
  • 2.    Licensing & Compliance

  • Prepare, submit, and follow up on license applications / renewals with relevant authorities (e.g., business premise / advertising, product / clinic-related permits where applicable).
  • Maintain a central register of license status, expiry dates, supporting documents, and payments.
  • Ensure timely renewals; compile evidence for audits / inspections.
  • 3.    Contract & Vendor Management

  • Track contract renewals (service, rental, maintenance, SaaS, insurance, etc.) with alerts before expiry.
  • Coordinate with Legal / Management on terms, NDAs, and policy adherence; file executed copies.
  • Monitor vendor performance (OTIF, quality issues, after-sales response) and escalate risks.
  • 4.    HR Administration & Cross-Functional Support

  • Handle HR admin matters : personnel file updates, letter issuance, attendance / leave records sync with HR, onboarding / offboarding document checklists.
  • Assist HR with administrative tasks (e.g., training attendance lists, claims documentation, staff uniform & ID issuance, asset tracking handover forms).
  • Support ad-hoc assignments and special projects from Management.
  • 5.    Documentation, Systems & Reporting

  • Keep SOPs / checklists current; ensure forms and naming conventions are standardized.
  • Maintain organized shared folders (contracts, licenses, POs, vendor profiles).
  • Prepare monthly Ops dashboards : PR / PO volumes, cost-savings, renewal status, open actions.
  • Who We Are Looking For

    1.    Education :

  • Diploma / Degree in Business, Operations, Supply Chain, Administration, or related field.
  • 2.    Experience :

  • 2–4 years in purchasing / operations / admin; experience with license / contract renewals is a strong plus.
  • Fresh grads with strong organizational skills and internship exposure are welcome.
  • 3.    Skills & Competencies

  • Solid Excel / Google Sheets (lookups, pivots), Word / Docs, and basic data analysis.
  • Familiar with purchasing flows (PR / RFQ / PO / GRN) and document controls.
  • Detail-oriented, systematic, and able to juggle multiple deadlines.
  • Good communication (English / BM); Mandarin is an advantage for vendor / stakeholder liaison.
  • Bonus : knowledge of HR / admin systems and simple contract term awareness.
