Operation Support Executive

General Administration, Office Operations & Procurement

Oversee daily administrative tasks to ensure smooth operations of the office, coworking space, guest accommodation, and other company facilities.

Maintain cleanliness, landscaping, and utilities to keep all workspaces and guest areas in good order.

Maintain accurate records of company assets, documents, permits, licenses, insurance, and renewals.

Perform administrative tasks related to bookings, guest or customer communications, invoicing, and coordinating cleaning or maintenance schedules as required.

Support simple procurement tasks as needed, including purchasing office or operational supplies.

Liaise with vendors and service providers for maintenance and operational needs.

Answer phone calls, emails, and general client enquiries in a professional manner.

Develop and implement creative strategies for both online and offline sales promotions and marketing campaigns to support various business activities, including but not limited to coworking spaces, durian products, guest accommodation, café services, and other related offerings.

Plan and execute marketing activities such as local promotions, simple events, basic printed materials, and digital content to increase brand awareness and drive customer engagement.

Design simple marketing materials independently (e.g. flyers, posters, banners, social media visuals) using Canva or similar tools.

Edit short videos for social media or promotional use using CapCut or similar basic video editing tools.

Coordinate with printing vendors or suppliers for production of marketing collaterals when needed.

Monitor market trends, competitor activities, and customer feedback to continuously improve marketing efforts.

Assist with simple digital advertising tasks, such as boosting posts and basic online promotions.

Social Media & Content Creation

Plan, create, and manage the company’s social media presence across multiple platforms, including but not limited to Facebook, Instagram, TikTok, Xiao Hong Shu, and others.

Develop and post engaging content (photos, videos, captions) consistently to grow brand awareness and audience reach.

Take photos and videos as needed to support both online and offline marketing activities.

Carry out other general marketing tasks as needed, such as basic market research, gathering customer feedback, and updating marketing content.

4. Other Duties

Carry out other related tasks as assigned by the superior.

Provide support to colleagues within the department when required.

Requirements

Diploma or equivalent in Business, Marketing, Administration, or a related field.

Required languages : English, Bahasa Malaysia, and Mandarin (to communicate with Mandarin-speaking clients and manage Xiao Hong Shu content).

Minimum 2 years of relevant working experience.

Hands-on experience with both online and offline marketing tasks.

Practical skills in using Canva or similar tools to design simple marketing materials.

Basic video editing skills using CapCut or similar software.

Familiarity with coworking spaces, hospitality, durian business, or related fields is an advantage.

Proficient in Microsoft Office.

Strong communication, interpersonal, and customer service skills.

Creative, well-organized, proactive, and able to multitask effectively in a fast-paced environment.

Able to work independently, handle outdoor tasks, and support simple procurement when required.

Flexible and willing to work on weekends and public holidays as needed.

Accommodation can be provided if required.

Own transport preferred; candidates residing in Balik Pulau are encouraged to apply.
