Responsible for ensuring day-to-day operations of the department run smoothly and to ensure efficient and effective service delivery. Assisting the Executive in the delivery of Medical Records services to meet and fulfill expectations of our stakeholders in compliance with statutory regulations, legislations and accreditation requirements.

Responsibilities

Ensure proper tracking on movement of MR folders such as check for unavailable Medical Record folders and ensure frequent follow up with wards or other departments on the location and return of the Medical Record folders.

Ensure proper filing of MR folders in MR Library such as checking on returned MR folders and filing any loose notes available, to sort returned folder into sorting shelves according to Terminal Digit / Primary Digit, proper filing of MR folders in MR Library following Terminal Digit / Primary Digit.

Maintain appropriate records, liaise with customers throughout the process, ensure requests are appropriately prioritized.

Ensure timely and accurate filing of Medical Record documents.

Ensure discharged patient Medical Record folders are collected from wards within 1 working day.

Ensure timely submission of notification of communicable diseases to Pejabat Kesihatan Daerah (PKD).

Job Requirements

Proven experience of working as MRA (or a similar role) in Medical Records Department for at least 2 years.

Must be able to handle multiple tasks and be able to make appropriate decisions in difficult situations.

Required skills : Excellent retrieving and filing skills, Computer literate, Strong time management and organizational skills, Strong interpersonal and problem solving abilities, Highly responsible & reliable, Strong attention to detail.

Proficient knowledge of the HIS system and MRD processes and procedures.
