Job Summary

We are seeking a versatile professional to manage construction projects and property operations. The role covers project coordination, budget and compliance oversight, and smooth estate / facility management. Acting as the key liaison between directors, contractors, vendors, and staff, the candidate will ensure projects and operations are delivered efficiently on time, and to high standards.

Key Duties & Responsibilities

Construction Project Administration

  • Maintain accurate project documentation (contracts, permits, reports).
  • Prepare Letters of Award, purchase orders, and other project correspondence.
  • Coordinate with contractors and suppliers throughout all project phases.
  • Track budgets, monitor costs, and ensure compliance with project schedules.
  • Conduct site inspections, prepare daily / weekly progress reports, and address issues promptly.
  • Supervise construction activities to ensure safety, quality, and timely delivery.
  • Support project forecasting (revenue and expenses) and provide management updates.

Property & Estate Management

  • Oversee property facilities, utilities, and infrastructure, ensuring smooth operations.
  • Manage preventive maintenance schedules for buildings, equipment, and systems (HVAC, plumbing, security, etc.).
  • Supervise estate services such as housekeeping, landscaping, and security.
  • Coordinate with service providers, monitor performance, and resolve issues.
  • Ensure proper inventory control, procurement, and vendor management for estate needs.
  • Conduct regular property inspections and oversee repairs / renovations.
  • Administrative & Financial Support

  • Handle general administration : scheduling, correspondence, record-keeping, insurance renewals.
  • Monitor budgets for both projects and estate operations, optimizing costs where possible.
  • Prepare financial documentation, expense tracking, and reporting for management review.
  • Organize meetings (project or property-related), set agendas, record minutes, and follow up on action items.
  • Act as the liaison between directors, staff, contractors, and external stakeholders.
  • Support staff coordination for estate and project-related operations.
  • Discretion & Scheduling

  • Maintain confidentiality and act with professionalism befitting a private household / Construction leadership role.
  • Qualifications & Requirements

  • Bachelor's degree or diploma in Construction Management, Civil Engineering, Facilities Management, or a related field.
  • 3–5 years' experience in project administration, construction coordination, or property / estate management (factory / industrial construction experience preferred).
  • Strong knowledge of construction processes, technical drawings, industry standards, and local regulations in Malaysia.
  • Proficiency in project management software (e.g., MS Project, Procore) and Microsoft Office Suite.
  • Familiarity with construction safety practices and compliance requirements.
  • Strong budgeting and financial oversight skills with proven cost-control experience.
  • Excellent communication, negotiation, and leadership abilities; able to liaise effectively with diverse stakeholders.
  • High level of discretion and integrity in handling confidential matters.
  • Technical know-how in property systems, including utilities, security, and entertainment systems.
  • Valid driver's license with a clean driving record.
  • Ability to work under pressure in a fast-paced, multicultural environment with a proactive, detail-oriented mindset.
