What You'll Do
As a Sales Administration Executive, you'll be the backbone of our sales operations, ensuring smooth processes and excellent customer support by :
- Generating new leads and conducting market research (vets, pet stores, grooming centers, boarding facilities).
- Processing and verifying sales orders through SQL Accounting with accuracy.
- Preparing invoices, delivery orders, credit / debit notes, and all supporting documents.
- Resolving discrepancies in orders, pricing, invoicing, or deliveries quickly and professionally.
- Supporting the sales team with scheduling, proposals, presentations, and reports.
- Acting as the primary in-house contact for customers and sales staff on product, pricing, promotions, and order status.
- Documenting and initiating resolution for complaints or returns while escalating complex issues when needed.
- Assisting in travel & expense claims for the sales team.
- Compiling sales data for daily, weekly, and monthly performance reports.
- Maintaining proper filing systems (physical & digital) for all sales-related documents.
- Coordinating office supplies and logistics for the sales department.
- Preparing meeting materials, minutes, and follow-ups.
- Supporting and participating in events, promotions, and activities (including cashiering duties when needed).
What We're Looking For
Diploma / Degree in Secretarial, Business Studies, or equivalent (advantage).3–7 years of experience in client servicing, order processing, shipping, or sales administration.Strong skills in Microsoft Office (Excel, Word, PowerPoint, Outlook).Experience with SQL Accounting, Bitrix24 CRM, Canva is highly desirable.Excellent communication skills in Bahasa Malaysia & English (Mandarin or dialects are a plus).Detail-oriented, highly organized, and skilled at multitasking under pressure.Proactive problem-solver with a professional and customer-focused approach.A genuine interest in pets and basic knowledge of pet nutrition will be a bonusWhy Join Us?
