Job title : Project Governance Executive
Location : Kuala Lumpur, Malaysia
Job Purpose
Responsible for managing project documentation and data, including organization-wide documentation and reporting.
Key Responsibilities
- Check quality of documents
- Compile and collate project information for management reporting
- Produce listings
- Set up project filing systems
- Collaborate with other documentation groups
- Understand report requirements from management and compile reports efficiently using macros, pivot tables or business intelligence tools
- Govern the Project Management processes and procedures and ensure project compliance to the organization’s policies, procedures and standards through audits
- Conduct audits, report non-compliance, and track action items to closure with PMs
- Maintain project documentation lifecycle from inception to archival across all project types (Solution, Services and Research)
- Communicate project information during internal and external audits
- Establish and update a project governance framework and standard project management methodologies and templates
- Create and manage document templates and revisions
- Consolidate project reporting according to agreed timelines for internal and external stakeholders
- Support weekly project progress updates and risk / issue reporting to senior management
- Develop an electronic filing and archive system for controlled documents
- Manage document identification, classification, filing, and archiving (soft and hard copy)
- Ensure accessibility of archived documents (physical and digital) and support distribution to recipients
- Share knowledge with new team members on processes and practices
Qualifications
Degree in Science, Technology, Engineering, Information Technology, Computer Science or related discipline. Master’s degree or additional certifications may be advantageousJob Requirements
Professional qualifications such as PMP or PRINCE2 are advantageousExperience in document management and archivingFamiliarity with project management processes; prior experience as a project administrator is advantageousExperience as an auditor is advantageousStrong administrative skills and proficiency in MS Office; familiarity with SharePointAttention to detail and ability to maintain confidentialityAbility to communicate effectively and share information with stakeholdersOther Competencies / Soft Skills
