Job Description
We are looking for a committed and detail-oriented Protégé to join our Supply Chain Fulfilment team. This role is well-suited for fresh graduates who are eager to gain real-world experience in logistics, sales support, and document control. The Protégé will assist in processing orders, generating logistics documents, preparing billing, and ensuring all paperwork is accurate, complete, and aligned with company processes.
This position requires a high level of accuracy and responsibility due to the large volume of documents handled daily. The ideal candidate must have a strong sense of accountability, excellent attention to detail, and the ability to double- and triple-check work to avoid errors that may affect operations or customer satisfaction.
Key Responsibilities :
1. Sales Order Processing
Create and process sales orders in the system based on inputs from the sales or customer service team.
Perform verification checks such as :
Reviewing related quotations
Price accuracy vs RRP (Recommended Retail Price)
Pre-order and advance shipment history
Decision on whether to deduct and bill or send stock
Proceed with undertaking documents when required
Ensure order details (item codes, descriptions, quantities, and pricing) are accurate and RRP code correctly tagged.
2. Invoice / Delivery Order (DO) Issuance
Generate invoices and delivery orders using the correct format / layout depending on delivery type, including :
Direct to private customers
Government hospitals
Through Bumi agents
Other customer-specific requirements
Ensure clear, professional, and compliant documentation for internal and external parties.
3. Undertake Documentation
Prepare undertaking letters or supporting documents when required by customers.
Ensure all documents are complete, properly filed, and traceable for future reference.
4. Billing Support
Assist in the preparation and issuance of accurate billing documents.
Pay close attention to items that have already been sent in advance and ensure prompt billing follow-up.
5. Ad-Hoc & Sales Support Assistance
Support any ad-hoc assignments as delegated by the sub lead, team lead or manager.
Provide assistance in other sales support functions as needed, including but not limited to document filing, customer service coordination, and process improvement activities.
Flexibly adapt to task changes or reassignment based on departmental needs.
Requirements
Diploma or Degree in Business Administration, Supply Chain, Logistics, or related field.
Fresh graduates are encouraged to apply.
Detail-oriented and committed to accuracy — must be comfortable working with large volumes of paperwork.
Ability to work under pressure, multi-task, and meet deadlines.
Proficient in Microsoft Office (especially Excel & Word); knowledge of ERP / SAP is an advantage.
Strong communication skills and willingness to learn.
Responsible and proactive mindset with strong organizational skills.
