Provide comprehensive administrative and clerical support to the Head of Division (HODiv) to ensure the smooth coordination of daily activities, communication, and logistical requirements, enabling the HODiv to focus on strategic and operational priorities.
Tasks
- Assist the HODiv in day-to-day activities, prioritizing and managing tasks effectively, including following up on delegated tasks as required.
- Organise and manage the HODiv’s calendar, including scheduling meetings, appointments, seminars, trainings and conferences.
- Coordinate travel arrangements, accommodation and bookings as required.
- Prepare, compile and process expense claims and reimbursements for the HODiv.
- Act as a liaison and communication link between the HODiv, internal departments and external stakeholders.
- Handle correspondence, including drafting, reviewing and managing incoming and outgoing documents and records.
- Maintain proper filing systems (both physical and electronic) to ensure accuracy, confidentiality and accessibility of records.
- Prepare meeting materials, agendas, minutes and follow-up action lists.
- Provide clerical and administrative support, including photocopying, scanning, data entry and document management.
- Support the planning and coordination of HODiv-related events, training sessions and workshops.
- Uphold professionalism and confidentiality in managing sensitive information.
- Perform any other related duties as assigned by Management and / or the immediate superior.
Requirements
Recognized Diploma / Degree in Secretarial / Private Secretarial Course or its equivalent;At least 3 years of experience in Secretarial and Administration Work;Proficiency in the use of MS Project, MS Excel, MS Word and MS PowerPoint;Proficiency in spoken and written English and Bahasa Malaysia is required;Able to prepare correspondences, minutes of meeting and slide presentation in English & Bahasa Malaysia;A good working attitude.Unlock job insights
