Human Resources Specialist at Commerz Global Service Solutions

Job Purpose :

  • Handles loan administration tasks for Commerzbank. i.e. The control and operational aspects, of approved credit transactions.
  • Checks completeness of loan transactional documentation in consultation with the Relationship Managers and Credit Officers ensures accurate input and maintenance of loan transactions in the relevant Bank’s systems.
  • Maintains proper co-ordination with other departments, branches and Head Office with regards to regular and ad hoc reports for Credit, Branch Management and Head Office.
  • Ensures proper implementation and compliance with requirements / procedures / system and controls put in place internally (by the Bank / Head Office / Auditors).
  • Manages credit portfolios of Asia branches (Singapore, Tokyo, China and Hong Kong / Frankfurt).
  • Provides relief coverage for fellow team member(s)
  • This position is based in Kuala Lumpur, Malaysia.

  • Analyze and respond to queries from internal and external clients with minimal supervision.
  • Achieves the processing turnaround standards as stipulated in the Service Level Agreement between the processing unit and clients.
  • Meeting and / or exceeding the expectations in handling complex cases in terms of high level competence in processing efficiency and accuracy of output.
  • Support the implementations and initiatives carried out by the Management and Company / Group.
  • Proactively contributes new ideas and concepts to improve operation process.
  • Ensuring teamwork within the unit / department and organization are closely fostered.
  • The ability to multi-task within the product handling and proactively provide support to the team
  • Key activities (approx. 6-10)

  • Understanding of the technicalities of bilateral, syndicated and agency Loan Agreements according to prevailing market standards.
  • Check the set-up (input / amendment / cancellation etc.) of credit facility limits in relevant Bank’s systems.
  • Loan Agency / Administration & operation

  • Oversee the administration for Aircraft syndicated facilities where the bank assumes the Facility Agent role.
  • Oversee a dedicated agency portfolio in terms of paying agency responsibility where the facility agency is in Frankfurt or in New York or Singapore
  • Facilitate and monitor operational matters between the borrower and lenders, including utilization request, rate fixing, rollovers, repayment, loan interest, technical waiver etc.
  • Coordinate between the Borrower and Lenders for the invoicing, receipt and distributions of interests, arrangement fees, upfront fees, commitment fees, agency fees etc when required.
  • Liaise with the Loan Agency team in Frankfurt and Head Office, Relationship Managers and various internal stakeholders on documentation and other administrative matters.
  • Liaise with bilateral & syndicated loan customers, lenders, borrowers and relevant departments (for loan drawdowns, rollovers, prepayments and repayments).
  • Processing (input / authorises) of loan transactions and fees settlements in the relevant Bank’s systems (LoanIQ).
  • Handle booking of secondary loan trades
  • Review loan documentation in terms of technical and operational feasibility
  • Ensures proper recordings and maintenance of loan administration files.
  • Reporting

  • Co-ordinates with other departments, branches and Head Office on internal reporting requirements.
  • Prepares reports for use by Loan Agency, Credit department, Branch Management and Head Office.
  • Other Administrative Tasks related to Team :

  • Supports resolution of operational issues, and implementation of continuous work process improvements.
  • Holiday coverage

  • Supports Commerzbank Frankfurt Tokyo, China and Frankfurt / Hong Kong) during KL holiday; if it’s Monday to Friday working day in Singapore, Tokyo, China and Frankfurt / Hong Kong.

    Additional task assigned by Group Head and subject to job rotation

    Formal Education :

    University degree or Commercial School Graduate preferred

    Specialist / Senior Specialist knowledge (work experience, further qualification) :

  • At least 5-7 years of experience in a financial institution with similar capacity
  • Good knowledge and understanding of corporate / commercial banking products and related facility and security documentation
  • Ability to work independently and a good team player.
  • Proactive, positive attitude and ability to work under pressure.
  • Possesses strong interpersonal and communication skills.
  • Good problem-solving skills with the ability to apply up-to-date knowledge and best practices to develop value-added solutions.
  • Ability to multi-task, prioritize and manage daily workflow.
  • Strong interpersonal and communication skills.
  • Business level English language in both oral and written communication.
  • Mandarin speaker is preferred.
  • Service oriented to key clients and stakeholders.
  • Adhere with all internal and external policies, and guidelines i.e. ComValues, Culture of Integrity, Code of Conduct, ABC Policy, TRM etc.
  • LoanIQ experience, experience with Debtdomain as an advantage
  • Employees’ working hours are staggered as follows : -
  • Shift 1 : 2.00pm to 11.00pm (Malaysia Time)

    Shift 2 : 3.00pm to 12.00am (Malaysia Time)

    During daylight saving time, the working hours will be shifted to align with the time change.

    Shift 1 : 3.00pm to 12.00am (Malaysia Time)

    Shift 2 : 4.00pm to 1.00am (Malaysia Time)

    The above may be subject to changes as and when necessary and reasonable advance notice shall be provided. However, from time to time you may be required to attend work during office hours from 9am-6pm
