As an Administrative Executive, you will play a crucial role in supporting the smooth and efficient operations of our organization. Your attention to detail, strong communication skills, and ability to manage tasks across various functions will contribute to our overall success.

Key Responsibilities :

Financial Administration

  • Prepare quotations and invoices for clients following company templates and pricing

guidelines

  • Process incoming and outgoing payments in a timely manner
  • Maintain detailed records of all financial transactions
  • Assist with payroll processing, including EPF and SOCSO contributions
  • Verify and process employee claims and reimbursements
  • Inventory Management

  • Track and document all incoming and outgoing goods
  • Maintain accurate inventory records and update the status of goods
  • Generate regular inventory reports for management review
  • Reconcile physical inventory with system records
  • Alert appropriate personnel of low stock or discrepancies
  • Project Coordination

  • Serve as liaison between administrative office and project managers
  • Communicate project updates and requirements to relevant stakeholders
  • Assist project managers with administrative needs
  • Maintain project documentation and filing systems
  • Support scheduling of project-related meetings and follow-ups
  • Requirements :

  • 2+ years of administrative experience, preferably in a financial or inventory role.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Effective written and verbal communication skills
  • Strong organizational and time management skills
  • Experience with accounting or inventory management software.
  • Excellent attention to detail and accuracy
