JOB OVERVIEW
We are seeking an experienced and hands‑on Senior Human Resources Executive with at least 5 years of solid HR experience to manage the full spectrum of HR functions, including payroll administration, recruitment, employee relations, performance management, compliance, and training and development. The ideal candidate will be well‑versed in Malaysian labour laws, HR policies, payroll and statutory management, disciplinary procedures, and foreign worker management, with strong attention to detail and confidentiality in handling employee records. You will play a key role in supporting management through effective workforce planning, policy development and implementation, and HR data reporting to drive organizational growth and compliance. This position requires a proactive, responsible, and results‑oriented individual who can work independently and communicate effectively across all levels. Candidates who are available to start immediately will be given strong preference.
JOB RESPONSIBILITIES
Compensation & Benefits Management
Oversee the full spectrum of payroll processing, including salary, overtime, claims, allowances, bonuses, and statutory deductions.
Liaise with relevant government agencies for monthly statutory submissions (e.g. EPF, SOCSO, LHDN, HRDC).
Review and verify timesheets, leave records, and attendance data to ensure accurate and timely payroll calculations while supporting annual audits, tax filings, and other payroll‑related compliance requirements.
Administer employee medical benefits, and other company welfare programs.
Recruitment & Manpower Management
Manage the end‑to‑end recruitment process, including job postings, candidate screening, interview coordination, reference checks, and job offers.
Oversee the onboarding process for new hires by setting up email and ID access, access cards, workstation readiness, and induction programs.
Manage the off‑boarding process for departing employees, including exit interviews, clearance procedures, and asset return tracking.
Support manpower planning and assist Management in meeting workforce needs effectively.
Employee Relations & Engagement
Serve as the primary point of contact for employee relations matters, including grievances, disciplinary issues, and conflict resolution in line with Malaysian labour laws.
Foster a positive, engaging, and inclusive work culture through regular communication and employee engagement initiatives.
Plan and coordinate employee engagement activities, including team‑building events, birthday celebrations, annual dinners, and welfare programs.
Employee Training & Development
Identify and prioritize training needs through Training Needs Analysis (TNA) and close collaboration with Department Heads.
Develop, coordinate, and monitor the Annual Training Plan, Budget, and Training Calendar to align with business objectives.
Maintain training records, ensure effective utilization of training budgets while evaluating training effectiveness, and provide recommendations for continuous improvement.
Performance & KPI Management
Coordinate and monitor performance review cycles, ensuring timely completion and documentation.
Support the implementation and tracking of Key Performance Indicators (KPIs) and performance appraisal systems.
Provide guidance to Department Heads and employees on performance improvement and career development initiatives.
HR Compliance & Strategy
Develop, implement, and review HR policies, SOPs, and compliance procedures in line with Malaysian labour laws and company standards.
Stay updated on labour legislation changes and recommend necessary updates to Management.
Prepare and maintain HR reports, including monthly workforce statistics, leave summaries, and compliance audit documentation.
Support both internal and external audits by providing accurate HR documentation and reports.
Act as a liaison between Management and employees to ensure effective communication and resolution of workplace issues.
JOB REQUIREMENTS
Minimum Bachelor’s Degree in Human Resource Management, Business Administration, or related field .
At least five (5) years of relevant experience in a full‑spectrum HR role, preferably in a fast‑paced or multi‑functional environment.
Strong understanding of the Malaysian Employment Act 1955 , Malaysian Industrial Relations Act 1967 , industrial relations practices, and HR compliance standards.
Proven experience in payroll management, recruitment, performance appraisal, and employee relations .
Hands‑on experience with HRMS systems , Microsoft Office (Excel, Word, PowerPoint), and digital HR tools. Familiarity with the MYWave HR system will be an added advantage.
Excellent communication, interpersonal, and conflict‑resolution skills with the ability to interact professionally across all levels of the organization.
High level of confidentiality, integrity, and attention to detail in handling sensitive employee matters.
Strong organizational, analytical, and problem‑solving skills with the ability to manage multiple priorities effectively.
