Overview
The Operation Executive is responsible for managing and optimizing the day-to-day operational performance of Coffeebot’s vending business, including service routes, stock movement, machine performance, and profitability. This role requires strong analytical and business acumen — particularly in understanding Profit & Loss (P&L) — to ensure each operation segment runs efficiently and contributes positively to the company’s financial goals.
Key Responsibilities
- Oversee daily operations of service teams, including route planning, machine uptime, and product replenishment.
- Monitor performance of Service Operators, ensuring adherence to SOPs, hygiene, and service quality.
- Coordinate with Warehouse, Technical, and BD teams to ensure smooth flow of products, machine movement, and installations.
- Ensure all vending machines under assigned region are operational, well-stocked, and delivering consistent product quality.
- Review service reports, wastage data, and downtime logs to identify areas for improvement.
- Support the Operation Manager in monitoring P&L performance for assigned areas or clients.
- Track key cost drivers such as ingredients, logistics, labour, and maintenance to ensure operational profitability.
- Review sales vs cost data from vending machines and identify underperforming locations.
- Propose cost-saving initiatives or route optimization plans to increase margin.
- Ensure accurate reporting of stock usage, wastage, and product returns that impact cost tracking.
- Prepare weekly and monthly operational performance reports (sales, cost, uptime, wastage, and profitability).
- Assist in analyzing data from sales systems or dashboards to support management decision-making.
- Work with the Finance team to ensure operational data aligns with financial records for accurate P&L reporting.
- Provide insights and suggestions on improving efficiency, reducing cost, and increasing profit margin.
- Supervise a group of Service Operators and ensure their schedules, attendance, and performance are well managed.
- Conduct on-site visits to ensure operational standards are maintained and provide guidance to the team.
- Coordinate with HR for manpower planning, training needs, and replacement scheduling.
- Foster teamwork, accountability, and continuous improvement within the operations team.
- Ensure all operations comply with company policies, safety standards, and customer requirements.
- Participate in process improvement initiatives and contribute ideas to enhance operational efficiency.
- Support audits and ensure proper documentation for stock, delivery, and service activities.
- Drive continuous improvement projects that improve service speed, cost efficiency, and client satisfaction.
Requirements
Diploma or Degree in Business Administration, Operations Management, Logistics, or related field.Minimum 2–3 years of experience in operations, logistics, or FMCG service environment.Strong understanding of Profit & Loss (P&L) concepts — revenue, cost, margin, and expense tracking.Proficient in Microsoft Excel and data analysis (pivot tables, cost tracking, reporting).Strong leadership, coordination, and problem‑solving skills.Able to work independently in a fast-paced, field-based environment.Possess valid driving license (GDL is an advantage).#J-18808-Ljbffr
