Personal Assistant to Chairman
Responsibilities :
- Confidentiality Management : Handle confidential and sensitive documents and information with the utmost discretion, in alignment with Fairview’s commitment to maintaining a high standard of privacy and integrity.
- Calendar & Appointment Management : Manage and maintain the Chairman’s appointments and calendar, ensuring efficient scheduling of meetings and prioritizing key engagements.
- File & Record Management : Organize and maintain the Chairman’s files and records in an orderly and secure manner, ensuring quick access when required.
- Document Management : Ensure that documents requiring the Chairman’s signature are signed promptly and returned to the correct sender, maintaining an organized flow of communication.
- Office & Meeting Room Maintenance : Oversee the upkeep of the Chairman’s office, meeting room, and surrounding areas, ensuring a professional and welcoming environment at all times.
- Meal & Medicine Management : Coordinate daily meals and manage the Chairman’s medication schedule, ensuring that all health-related needs are efficiently met.
- Financial Management : Oversee the management of the Chairman’s credit cards, club memberships, and other financial obligations.
- Leave Application Management : Extract senior staff leave applications for Chairman’s approval on a weekly basis to ensure smooth operational planning.
- Transaction Authorization : Authorize daily financial transactions (OCBC / CIMB / Maybank) on behalf of the Chairman in compliance with organizational protocols.
- Travel Arrangements : Make necessary travel arrangements for the Chairman, including booking transportation, accommodations, and related travel requirements.
- Event Planning & Coordination : Plan and assist with organizing company events, aligning with the vision of Fairview’s mission to provide an exceptional educational experience.
- Support to Senior Management : Provide administrative support to other senior management staff as needed, ensuring alignment with overall operational goals.
- Corporate Gift Management : Manage and maintain stock of corporate gifts for various internal and external occasions.
- Hospital Visit Authorization : Issue Guarantee Letters for senior management staff for hospital visits or admissions as required.
- Floral Arrangements : Arrange for flowers or wreaths for appropriate occasions to ensure thoughtful gestures are communicated on behalf of the Chairman.
- Ad-Hoc Tasks : Handle any additional tasks as directed by the Chairman, with flexibility and attention to detail.
Management Payroll Administration
Responsibilities :
Team Management : Lead and manage the payroll team to ensure the timely and accurate processing of monthly payrolls (approximately 10 payrolls), supporting Fairview's commitment to operational excellence.Senior Management Records : Maintain and manage payroll records for senior management in a confidential and systematic manner.Payroll Record Maintenance : Ensure payroll records are accurately updated and well-maintained in accordance with internal procedures.Internal Reporting : Prepare and submit internal monthly payroll reports for various departments, ensuring transparency and timely information sharing.External Reporting : Prepare external monthly reports / forms required for statutory bodies, maintaining compliance with government regulations.Annual Documentation : Prepare annual E and EA forms for staff, ensuring all necessary information is included in line with legal requirements.System Updates & Backup : Regularly update and back up the payroll system to ensure accuracy and safeguard sensitive payroll data.Statutory Compliance : Ensure payroll systems and processes remain compliant with all relevant statutory bodies, maintaining high standards of accuracy and legal adherence.Timely Payroll Payments : Ensure timely disbursement of payrolls to staff, demonstrating Fairview's commitment to employee welfare.Statutory Remittances : Oversee the timely payment of statutory remittances (EPF, SOCSO, tax) in compliance with Malaysian regulations.Audit Preparation : Ensure proper payroll records are maintained and ready for annual audits, supporting the school’s commitment to transparency.Payroll Queries : Provide clear and timely responses to payroll-related queries from staff, ensuring any issues are resolved promptly.Statutory Body Queries : Manage and respond to inquiries or audits from statutory bodies related to payroll matters, ensuring full cooperation with all regulatory requirements.Qualifications
Proven experience as a Personal Assistant to senior management or in a similar role.Experience in payroll administration, with a strong understanding of statutory requirements.Strong organizational and time management skills, with the ability to multitask and meet deadlines.Excellent communication skills, both written and verbal.High level of integrity and discretion when dealing with sensitive information.Proficiency in office management software, payroll systems, and relevant tools (e.g., MS Office, OCBC / CIMB / Maybank systems).Ability to manage sensitive financial and administrative tasks with precision and professionalism.Mandarin proficiency is preferred.Additional Skills / Attributes
Detail-oriented with strong problem-solving abilities.Strong interpersonal skills, able to work with a diverse team and handle external stakeholders.Ability to prioritize tasks effectively and manage time efficiently.Flexible and adaptable to changing requirements in a fast-paced environment.Application Process
