Executive Assistant
Handling personal errands and tasks as needed.
Travel Arrangements :Booking flights, accommodations, and transportation for personal and business trips
Personal Matters :Managing personal appointments, correspondence, and other tasks as requested
Administrative Support :Provide end-to-end administrative support to the Managing Director, including calendar management, meeting coordination, and communication handling
Track and follow up on deadlines, action items and key deliverables to ensure the Managing Director is well-prepared for all engagementsOrganising meetings and managing databasesManage and process business expense claims promptly and accuratelyOffice Administration
Office Management :Oversee general office operations, including pantry and stationery supplies, meeting room bookings, and front-desk / visitor reception
Planned and managed day to day operations for corporate office and coordination with vendorsLiaise with service providers (e.g., cleaning, maintenance, courier services) to uphold a clean, functional and professional office environmentSupport procurement processes for office-related purchases, including vendor sourcing and invoice trackingAssisting the Company's HR function by keeping personnel records up to date, arranging interviews and so onAssist with coordination and logistics for HR-related and company-wide events (e.g., interview arranging, team-building activities, townhalls)Extend support to the team members on an ad-hoc basis when necessaryRequirements
Minimum Diploma in Business Administrator or any other related fieldsPreferably with 2-3 years of administrative experienceAble to manage multiple tasks and priorities in a fast-paced environment.Demonstrated discretion and integrity in handling confidential information and employee relationsProficient in Microsoft Office and digital collaboration tools.Strong team playerOrganizational Skills :Ability to manage multiple tasks, prioritize effectively, and maintain organized records
Communication Skills: Strong team player with good communication and interpersonal skills for interacting with various stakeholders
