Our company Business Service Centers (BSCs) are located across three regions and are responsible for the timely and efficient delivery of standardized global financial processes. The BSCs provide a broad range of financial services across our business divisions and markets.
Meeting Services Support Specialist – Responsibilities
The Meeting Services Support Specialist supports the end-to-end meeting process from creation through closure, including vendor and PO management, contract preparation, compliance review, and payment reconciliations.
- Execute global meeting and congress services within agreed SLA
- Review and complete event and vendor information; create PO accurately
- Prepare contracts / agreements for healthcare professionals, organizations, and speakers per templates
- Reconcile and process payments following compliance and company policies
- Process year‑end accruals and reversals according to financial timelines
- Collaborate with stakeholders (Business Unit, Travel, Meetings, Card & Fleet, Process Excellence, Finance, and other partners)
- Facilitate payments with Meeting Planning Agency (MPA)
- Maintain and update SOP documentation and relevant policies
- Champion process improvement initiatives and manage new scope during hyper‑care
- Resolve operational inquiries promptly and professionally
- Maintain professionalism and meticulous attention to detail when interacting with internal and external parties
- Perform any other duties within the scope of the role as requested
Qualifications
Education : Bachelor’s Degree in Business Administration, Finance, Accounting, or related discipline.
Experience : Minimum 3 years in basic accounting or P2P / O2C / R2R processes.
Skills :
Intermediate MS Excel and Power Platform (Power Apps, Power BI, PowerPoint, SharePoint)Fluency in English; additional language is an advantageStrong understanding of finance processes, internal controls, compliance, and financial business processesIndependent and collaborative working within a geographically dispersed, fast‑paced environmentExcellent communication, interpersonal, and organizational skillsProcess‑improvement orientation and meticulous attention to detailPositive can‑do mindset with analytical problem‑solving skillsTechnical Knowledge : Experience with SAP (Concur, Shopping / Purchase Order, Payment Portal Requests), Ariba, ServiceNow.
