Job descriptionSupport the project manager in preparing and conducting kick-off meetings and in regular project status reports and meetings. Manage and coordinate project documentation, including creating cover sheets, compiling all incoming and outgoing documents, and filing (digitally and physically). Regular communication with customers regarding document submissions, deliveries, payments, and general project progress. Monitoring of project progress in coordination with other departments (e.g., manufacturing, logistics), early reporting of delays or deviations to the project manager. Coordinating inspections and test reports (e.g., FAT, punch list) with internal departments and preparing the relevant documents for the customer. Assisting with payment and invoicing processes, including advance payment files, arrears overviews, invoicing, and tracking outstanding amounts. Performing general project-related tasks as instructed by the project manager or supervisor. Diploma or Bachelor’s degree in Engineering, Business Administration or a related field 2–4 years of experience in project coordination, document control, or project support functions, ideally in a manufacturing or engineering environment Good organizational skills with high attention to detail in managing documentation and timelines Strong communication and interpersonal skills, capable of coordinating across departments and with customers Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with document portals or project tracking tools is a plus Ability to work independently, manage multiple tasks, and prioritize effectively under time pressure Good command of English, both spoken and written; additional local language skills are a plus
