The Front Desk Executive is the first point of contact for clients and plays a vital role in creating a welcoming, professional, and luxurious experience. This position involves managing client appointments, handling inquiries, supporting the clinic’s operations, and ensuring smooth daily workflow
Tasks & responsibilities
- Greeting and welcoming patients in an approachable manner. Attentive and enthusiastic.
- Assist clients with registrations.
- Handle patients inquiries professionally in person, via phone or WhatsApp
- Collecting patient information and input data into system accurately Maintaining patient records and updating information & adhering to confidentiality and privacy regulations
- Schedule and confirm appointments for doctors and therapists.
- Manage the clinic’s booking system efficiently to avoid overlaps or no-shows
- Handle cash and electronic payments; issue receipts and invoices. Addressing billing inquiries and discrepancies.
- Track daily sales, prepare end-of-day reports, and submit to management
- Ensure front desk area is clean, tidy, and aligned with the clinic’s image.
- Manage clinic supplies (forms, brochures, refreshments, etc.).
- Coordinate with the clinical team to ensure smooth patient flow.
- Handle administrative paperwork, consent forms, and treatment documentation.
- Liaise with suppliers or external service providers when required.
- Assist the Clinic Manager in daily operations and reporting.
- Striving to enhance patient satisfaction through excellent service.
