Operation Executive (Marine Agency Services)
The Operations Coordinator is to provide local knowledge and expertise to ensure that the principal’s requirements are performed with the utmost efficiency in conjunction with the Operations Manager and Boarding officers.
The role is to efficiently support, assist to coordinate and handle in a sustainable and compliant manner dry cargo, wet-gas, break-bulk, cruise, military, ship-managers, and defense companies in the Asia Pacific region. The provision of an efficient service delivery ensures continued sustainable growth within the Marine Agency business.
Responsibilities
- Oversee operations coordination, appointments of branch offices / sub-agents, pre-arrival operations planning, operations reporting, all related documentation, and system updates. To enable this will require working closely in conjunction with the boarding officer.
- Providing clear communication with Principal on all pre-planning, in port operations and post sailing operations as per the company’s SOP and KPIs.
- Organizing pre-arrival meetings for vessel operations where applicable.
- Maintain mandatory records and other documentation as may be required by the regulatory authorities.
- Source costs and tariffs in order to prepare PDAs and other quotations.
- Obtain and retain on file most up to date port information including restrictions and to ensure that these are kept up to date.
- Communicate any incident reporting from vendors and contractors.
- To monitor vendor and contractor performance and to escalate any issues to the Operations Manager.
- Ensure all Port related details (including enquiries and appointments) are appropriately entered into Port360 and kept up to date.
- To assist with any KPI measurements
- Oversee and approve leave requests for the operations staff. Ensure adequate coverage during absences.
- Monitor and validate port passes for staff.
- Oversee office upkeep, including repairs and supplies using HQ help where required.
- Provide direct supervision to the operations team. Conduct performance evaluations.
