Property Operations Coordinator

About the Role
We are a growing short‑stay property management company that uses data and AI automation to optimize performance across Airbnb and Booking.com. We’re looking for a detail‑oriented and proactive Property Operations Coordinator to oversee daily OTA operations, guest communications, and property updates — ensuring all listings run smoothly and efficiently.
Key Responsibilities
Daily OTA Management
Update rates and availability on Booking.com extranet and Airbnb according to data in Google Sheets.Check all listings daily for room status (open / closed) and ensure accuracy for the next 30–60 days.Manage calendar synchronization and flag any discrepancies or double‑booking risks.Guest Communication
Handle guest messages and inquiries professionally (pre‑arrival, check‑in, post‑stay).Follow up with guests for reviews or issue resolution (e.g., refunds, complaints).Coordinate with cleaners or on‑site staff for check‑ins, check‑outs, and maintenance.Admin & Reporting
Record booking data and update Google Sheets (daily bookings, cancellations, occupancy).Monitor and report daily sales, average rates, and occupancy performance.Assist with documentation for refunds, invoices, or disputes.Listing & Content Maintenance
Upload / update listing details, photos, and amenities across OTAs.Ensure property descriptions and pricing are consistent across all platforms.Coordination with Automation Team
Communicate with automation developer (Axiom / Automa / Sheets script) to troubleshoot data or rate‑sync issues.Perform basic checks to verify that automation tasks have run correctly (spot‑checking updated prices or availability).Requirements
Experience in property management, OTA platforms (Airbnb, Booking.com), or hospitality operations.Strong attention to detail — especially with rates, dates, and booking accuracy.Comfortable working with Google Sheets and online dashboards.Excellent communication skills (English required; Malay / Chinese a plus).Availability to check OTA dashboards daily (including weekends on rotation).Preferred Skills
Experience with Google Sheets formulas, Apps Script, or basic automation tools (Axiom, Make.com, Automa).Knowledge of pricing strategy or revenue management.Familiarity with short‑stay property operations in Malaysia (Kuala Lumpur preferred).Why Join Us
