Job Responsibilities

  • Provide secretarial and administrative support to the project team.
  • Prepare, maintain, and organize project documents including correspondence, reports, drawings, meeting minutes, and filing.
  • Coordinate project schedules, appointments, and meetings with consultants, contractors, and clients.
  • Assist in tracking project progress, deadlines, and deliverables to ensure smooth workflow.
  • Manage communication between internal teams, subcontractors, and external stakeholders.
  • Handle document submissions, transmittals, and follow up on approvals.
  • Support in preparing project-related presentations and reports.
  • Ensure proper documentation and filing system (both physical and electronic) for project records.
  • Perform other administrative duties as assigned by management.

Job Requirements

  • Minimum Diploma in Business Administration, Secretarial Studies, or equivalent
  • At least 2 years of working experience in secretarial / administrative role; experience in construction or interior fit-out industry is an added advantage
  • Proficient in Microsoft Office (Word, Excel, PowerPoint), email management, and virtual communication tools (Zoom, Teams)
  • Good organizational skills with attention to detail
  • Able to handle confidential information with discretion
  • Strong communication and coordination skills
  • Able to work under pressure and meet tight deadlines
