Overview

The Depot Operations Assistant plays a vital support role in ensuring smooth day-to-day depot operations, customer engagement, cash collection supervision, and compliance with regulatory requirements. The role requires effective coordination, reporting, and communication with internal teams and customers, while also supporting the Depot Head across HR and finance-related tasks.

Key Responsibilities

  • Operational Support

Assist the Depot Head in overseeing all operational activities

  • Respond to and resolve any operational issues in a timely manner
  • Commercial & Revenue Activities
  • Supervise and monitor all cash collection activities.

  • Support and guide PUSH participants to enhance their revenue performance through effective cash collection management.
  • Collaborate with the Depot Head to develop and execute marketing and promotional plans aimed at expanding the customer base.
  • Customer & Stakeholder Engagement
  • Manage communications with customers to ensure a positive experience and resolve issues promptly.

  • Maintain regular communication with higher management to report on depot performance and escalate matters when needed.
  • Meetings & Coordination
  • Attend internal and external meetings as required to represent the depot or provide updates.

  • HR & Finance Support
  • Assist the Depot Head in handling HR-related tasks, including documentation, onboarding, and coordination with the central HR team.

  • Support finance-related matters such as petty cash handling, documentation, and expense tracking.
  • Licensing & Compliance
  • Ensure that all depot licenses (e.g., MPOB, Municipal) are up to date.

  • Ensure full compliance with ISCC and sustainability standards.
  • Reporting
  • Prepare and submit daily, weekly, and monthly reports as required to management.

  • Event Participation
  • Be available and actively involved in company-related events or initiatives that fall on Saturdays, as required.

  • General Duties
  • Carry out any additional duties as assigned by the Depot Head or Operations Manager.

    Requirements

  • Minimum Diploma / Degree in Business Administration, Logistics, Warehousing or a related field.
  • At least 2 years in warehousing and logistics
  • Basic knowledge of operations, HR, and finance processes is an advantage.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office and reporting tools.
  • Ability to work independently and as part of a team.
  • Willingness to work flexible hours, including occasional weekends (especially Saturdays) for events or campaigns.
