Role Summary
Document Controller (Admin) provides comprehensive support to ensure smooth day-to-day operations within a construction project or company office. This role bridges coordination between project teams, management, contractors, suppliers, and clients. The applicant must ensure compliance with documentation standards, supports site operations, and maintains accurate records to facilitate project delivery.
Job Responsibility
Office & Site Administration Manager correspondence, phone calls, and scheduling for project / site teams.
Maintain filing systems for contracts, permits, drawings, and reports.
Assist with procurement documentation (purchase orders, delivery orders, invoices).
Project Documentation & Compliance : Prepare and update project reports, meeting minutes, and progress trackers.
Ensure compliance with safety regulations and ISO documentation (if applicable).
Coordinate submission of permits, licenses, and statutory documents.
Financial & HR Support : Assist with timesheet collection, staff attendance, and leave records.
Support payroll preparation and claims processing.
Track project-related expenses and petty cash.
Coordination & Communication : Liaise between site teams, consultants, subcontractors, and head office.
Schedule and coordinate project meetings, including preparation of materials.
Support tender and bidding processes with document preparation.
Job Requirements
Diploma or Bachelor’s Degree in Business Administration, Construction Management, or related field.
Candidate must have at least 3-5 years working experience related working experience.
Good communication skills (written and verbal) in English and Bahasa Malaysia; Mandarin is an added advantage.
Prior experience in construction, engineering, or consultancy firms is highly preferred.
Familiarity with construction project processes, terminology, and documentation standards.
Strong organizational and multitasking abilities.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
Attention to detail and ability to maintain accurate records.
Team-oriented, proactive, and able to work independently with minimal supervision.
Knowledge of CIDB, DOSH, or other regulatory bodies’ requirements is a plus.
