Job Purpose
The Supply Chain Fulfilment Executive plays a vital supporting role within the Supply Chain Fulfilment Department. This position is responsible for assisting in the smooth coordination of order processing, documentation, inventory tracking, and reporting functions, ensuring timely delivery to customers and efficient internal operations. The role requires strong organizational skills, attention to detail, and the ability to support cross‑functional collaboration between logistics, procurement, finance, and operations.
Key Responsibilities
- Administrative, Order & Delivery Processing Support
- Assist in preparing, reviewing, and processing Purchase Orders (POs), Goods Receive Notes (GRN), Purchase Invoices (PIs), Delivery Orders (DOs), Proforma Invoices, and Invoices.
- Maintain filing systems and digital records for all transactional documents, ensuring easy retrieval for audits and reporting.
- Liaise with internal departments (Sales, Finance, Operations) to confirm order details, billing accuracy, and delivery instructions.
- Monitor pending orders, track fulfilment progress, and escalates issues to the Supply Chain Fulfilment Manager where necessary.
- Placing local orders, ensuring timely arrival to fulfil project requirement.
Documentation & Compliance
Support the department in maintaining up‑to‑date documentation related to procurement, logistics, facility management, and administration.Ensure that all records comply with statutory, legal, and regulatory requirements, and facilitate timely submission of supporting documents for audits.Assist in drafting and updating Standard Operating Procedures (SOPs) to improve efficiency and compliance.Inventory Management Assistance
Provide support in inventory planning and control, including data entry and reconciliation of stock levels.Monitor stock replenishment requests, track inventory turnover, and highlight potential risks of stock‑outs or overstocking.Assist in coordinating with warehouse teams, transporters, and suppliers for timely delivery and goods receipt.Support in conducting regular cycle counts, stock checks, and reconciliation exercises to ensure accuracy of inventory records.Performance Monitoring & Reporting
Assist in collecting data for Key Performance Indicators (KPIs), including delivery lead times, supplier performance, order accuracy, and cost efficiency.Prepare and update reports, dashboards, and summaries for management review on a weekly and monthly basis.Identify trends, variances, and potential inefficiencies for escalation and improvement recommendations.Cross‑functional & Ad Hoc Support
Collaborate with Finance to ensure alignment of procurement and billing records.Provide support to the Procurement Team in supplier coordination and basic contract / quotation follow‑ups.Support logistics scheduling and liaise with third‑party providers where required.Undertake ad hoc assignments or special projects as directed by the Supply Chain Fulfilment Manager.Qualifications
Strong organizational and time‑management skills.Proficiency in Microsoft Office (Excel, Word, PowerPoint) and inventory management systems.Ability to handle documentation with accuracy and attention to detail.Strong communication skills to liaise with multiple stakeholders (internal and external).Basic analytical skills to interpret reports and highlight discrepancies.Knowledge of Autocount, supply chain processes and best practices is an advantage.Seniority Level
