Key Responsibilities :

  • Manage the Executive Director's calendar, meetings, travel arrangements, and communications.
  • Prepare reports, memos, presentations, and other documents for internal and external use.
  • Handle confidential information with integrity and discretion.
  • Organize and prioritize incoming information, ensuring the ED is well-prepared for meetings and deadlines.
  • Operational & Administrative Support
  • Assist with coordination of cross-functional projects, especially between culinary, operations, and marketing teams.
  • Track and follow up on key initiatives, business development tasks, and departmental goals.
  • Support the ED in vendor management, including contracts, negotiations, and performance reviews.
  • Maintain and organize files, records, and documentation.
  • Communication & Coordination
  • Act as a gatekeeper and liaison for the ED with internal staff and external stakeholders.
  • Attend meetings, take minutes, and follow up on action items.
  • Draft professional correspondence and ensure timely responses to inquiries.
  • Coordinate event logistics for executive meetings, board meetings, or corporate functions.

Qualifications : -

  • Bachelor's degree in Business Administration, Hospitality, or related field preferred.
  • 3+ years of experience in executive or administrative support, preferably in the food and beverage or hospitality sector.
  • Skills & Competencies
  • Exceptional written and verbal communication skills.
  • English,Mandarin,BM. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
  • Proficient in Microsoft Office Suite and scheduling software (e.g., Outlook, Excel, PowerPoint).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines under pressure.
  • Understanding of food and beverage industry operations is highly desirable.
  • Office-based with occasional visits to restaurant or production sites.
  • May require extended hours or weekend availability based on business needs
