Role Description : Procurement Executive
Location : Telokmas, Melaka
Employment Type : Full-Time
We are looking for a proactive and detail-oriented Procurement Executive to manage purchasing activities, supplier relations, and ensure timely delivery of materials that meet the company's quality, food safety, and regulatory requirements. This role plays a critical part in supporting production schedules, maintaining compliance with Halal, QMS, FSMS, and ISO standards, and driving procurement efficiency.
Education, Qualifications & Training
- Minimum a Bachelor's Degree in Marketing, Supply Chain, Business Studies, Administration, Management, or equivalent
- Professional qualifications in procurement or supply chain management are an advantage
Experience, Skills & Specialised Knowledge
Minimum three (3) years of working experience in a similar capacity in the manufacturing industryComputer literate; proficient in MS Office applicationsGood command of English, Chinese, and MalayStrong negotiation, communication, and supplier management skillsAbility to travel as requiredLeadership Competencies

Interpret inventory requests, production schedules, and purchase requisitions to coordinate purchasing activities based on company demandMonitor supplier quality and timeliness of deliveries; follow up on purchase orders and communicate status to internal departmentsParticipate in contract negotiations within authorized spending limits and source new qualified suppliersEvaluate supplier performance on quality, pricing, and delivery standards, ensuring compliance with company expectationsCoordinate with suppliers and Quality & Food Safety Department for product sample verificationProcess clearance documents for imported raw and packaging materials according to SOPIssue Purchase Orders as per approved requisitions and ensure Halal Certificates of purchased items are up to dateCollect quotations, product specifications, and MSDS prior to purchasing for food safety confirmationPrepare and analyze data to meet QMS & FSMS objectivesMaintain accurate quality and purchasing records in line with SOP requirementsFinalize purchase records in the system, verify invoices, and coordinate with Finance for paymentsUpdate approved supplier lists and ensure Vendor Survey Forms are completedConduct monthly stock takes and monitor stock activity in the systemManage SST exemption compliance as per SOPEnsure personal hygiene, safety, environmental, and 5S implementationContribute to Corporate Social Responsibility (CSR) initiativesPerform other duties as assigned from time to timeKey Performance Indicators (KPIs)
Achieve 95% annual on-time delivery of raw materials, packaging, tools, equipment, machinery, and servicesEnsure 100% Halal compliance for all procured itemsComplete work on time with zero customer complaints or product returnsReduce wasted time in procurement processesEnsure compliance with company policies, including Halal (JAKIM & MUI), HACCP, ISO 9001 : 2015, GMP, 5S, and Safety requirementsParticipate actively in risk assessments and report safety incidents or near misses promptlyMaintain personal hygiene and comply with company quality and food safety policyJob Type : Full-time
