Our Kuala Lumpur office is currently seeking a highly motivated and experienced Coordination Team Leader to join our dynamic team.
Key Responsibilities and Duties
Coordination
Handling client requests for the provision of quality assurance (QA), quality control (QC), engineering, project support, site, and office‑based personnel.Sourcing candidates to match client requirements and, where applicable, preparing candidates for interviews by providing project / commodity‑related information.Liaising with clients on the proposal, interview, selection, and placement of candidates.Issuing successful candidates with information pertaining to their obligations, responsibilities, and deliverables for the duration of the assignment.Liaising with assigned Fulkrum candidates in matters relating to :Fulkrum contractual terms and conditions.
Allocation of task‑related documents (ITP, drawings, specifications, client‑issued templates, etc.).Receiving, screening, and submitting site reports to clients.Handling client complaints.End‑of‑assignment feedback.Advising candidates where reports / performance / timekeeping, etc., are not adhered to.Providing candidate performance updates upon request to the Coordination Manager.Managing Fulkrum / candidate relations by means of ‘care calls’ during candidate assignments.Being commercially aware when negotiating placements with candidates and clients.Identifying and driving new business opportunities with existing and potential clients.Ensuring that all client SLA’s (Service Level Agreements) are adhered to, and Fulkrum KPI’s are met.Operational Excellence
Monitor the team’s IRIS dashboard daily and assist them with timely actions on all actionable items.Supporting the Coordination Manager to track and report KPI’s of the assigned Coordination.Ensuring that the assigned Coordination successfully adheres to all IRIS compliance metrics and KPIs.Support the team in processing all new client requests and report submissions in line with defined KPI parameters, and promptly inform the Coordination Manager and Operations Manager of any deviations to ensure timely resolution.Oversee the assigned Coordination invoicing activities, ensuring that account inquiries and errors are reviewed promptly by the team, and implement any corrective actions from senior management.Ensure all visits are ready for invoicing by the monthly deadline by supporting the team with timely timesheet submissions and facilitating the approval process.Offer support and improvement ideas for IRIS implementation, coordination procedures / work instructions, and general office and company efficiencies.Assure that all quality metrics are met each month, including enquiry success rate and proposal turnaround time.Support the Quality Manager with IRIS process improvements and internal audits of the coordination team.Ensure the assigned Coordination team supports accounts with debt collection and PO pending. When issues are escalated past the coordinators, support Accounts with debt collection and PO pending requirements.Line Management
Oversee the daily activities and provide guidance to the assigned Coordination team to deliver exceptional customer service and internal efficiency.Provide guidance and mentorship to the assigned Coordination, fostering a supportive and growth‑oriented environment.Monitor the performance of administrators and apprentices, providing regular feedback and support to help them achieve their professional goals.Conduct formal performance reviews as per the Company policy (e.g., end‑of‑year reviews, probation reviews).Address and resolve any conflicts or issues within the team promptly and effectively, maintaining a positive and productive work environment; this is with the support and management of the Coordination Manager.With the support of HR and the Coordination Manager, monitor the assigned Coordination team capabilities through the use of KPIs and ensure improvements through training, shadowing, and courses if required.Participate in the interviewing process of any new Coordination team candidates.Support Senior Management with CSR, inclusivity, and team‑building initiatives.Report any team retention concerns to HR and the Coordination Manager.HSE Awareness
