Job Description

The Document Controller is responsible to manage, organize, and maintain all documents related to retail operations, ensuring proper documentation control, accuracy, and accessibility to support smooth business operations and compliance requirements.

KEY DUTIES & RESPONSIBILITIES

  • Develop and maintain systems for tracking, storing, and retrieving warehouse related documents.
  • Manage document revisions and updates to ensure the correct version is always in use.
  • Conduct regular audits to verify the accuracy and completeness of documentation.
  • Ensure all document management processes comply with regulatory standards and company policies.
  • Record and manage POs for incoming goods.
  • Process receiving reports and delivery receipts, verifying items against POs and noting discrepancies.
  • Maintain accurate records of inventory counts, cycle counts, and physical inventory data.
  • Prepare and manage lists that direct warehouse staff in fulfilling customer orders.
  • Handle all documentation related to outgoing shipments.
  • Work with internal teams, including the logistics department, to manage the lifecycle of documents from creation to archiving.
  • The ability to maintain order in both physical and digital document systems.
  • Crucial for spotting inaccuracies and ensuring the integrity of documents.
  • Essential for coordinating with various teams and keeping them informed.
  • Understanding warehouse and logistics procedures is vital for effective document management.
  • JOB REQUIREMENTS

  • Minimum qualification Diploma / Degree in Business Administration, Supply Chain, or related field.
  • Must be a Malaysian citizen
  • 1-3 years working experience in retail / grocer / warehouse (experience in document control, administration in retail, FMCG, or grocery operations preferred)
  • Strong analytical and problem-solving skills with attention to detail.
  • Proficiency in Microsoft Office especially Microsoft Excel (Pivot Tables, VLOOKUP)
  • Proficient in typing, data entry and document management systems
  • Strong organizational and multitasking abilities.
  • Proficient in English and Bahasa Malaysia.
