Responsibilities
- The OM Specialist is the customer’s key contact point when placing orders for International, Domestic Marine and Energy products and services. The role includes helping to manage the customer relationship on behalf of International, Domestic Marine and Energy, and managing the entire order to invoice process as part of the Order-to-Cash (O2C) process.
- Ensure the customer order is aligned with brand offer before order placement, and keep the customer apprised of delivery progress (e.g., changes to vessel ETA and nominated port, product shortages, out-of-hours incidents, price enquiries).
- Demonstrate deep understanding of customer service processes and the complexities of shipping, marine and energy markets and their global supply network.
Key Results / Accountabilities
Establish and manage strong relationships between distributor / supplier, customer and sales manager; be the primary point of contact for customers with regular communication to purchasers, Chief Engineers / Ship Captain, Sales Managers and Supply / Logistics staff worldwide.Handle day-to-day customer service operational tasks (receiving enquiries and orders via phone, email and fax) with timely acknowledgment and adherence to contractual turnaround times.Ensure all orders are accurate, compliant, informative and of good quality.Collaborate with Credit team to ensure sufficient credit for order processing.Monitor orders proactively to ensure on-time delivery.Escalate potential order issues to superior / line manager when needed.Record and log all customer complaints and non-conformances in the designated portals / databases.Key Challenges
Managing an order through multiple systems (Salesforce, Genesys, SAP, Manta, JDE, etc.).Maintaining high attention to detail to ensure timely, accurate order placement to meet supply lead times.Ensuring accurate pricing to generate correct invoices for customers.Managing vessel operations across different geographies and time zones.Qualifications, Experience and Competencies
Education and Experience
Bachelor’s degree or higher in Business, Computer / Information Technology, Engineering, or equivalent.Accredited as Lean Practitioner is desirable.Preferred Criteria
Shared service centre experience.Oil and gas industry experience.Stakeholder engagement (internally & externally).Written and spoken proficiency in English and Vietnamese.Ability to prioritise, handle urgent issues and follow through to resolution in a timely manner to deliver business value.Ability to multi-task in a dynamic, fast-moving environment.Experience in a customer-focused environment with strong interpersonal, influential and decision-making skills to manage key stakeholders and customers.Benefits
