1.0 Job Overview
- 1.1 To manage and control all shipping activities to ensure timely and accurate processing of inbound and outbound shipments in compliance with customer and regulatory requirements.
- 1.2 To coordinate and monitor daily shipment schedules with internal teams, customers, forwarders, and carriers to ensure smooth flow of goods.
- 1.3 To ensure all shipping documentation (import / export) is accurate, complete, and complies with customs and statutory regulations.
- 1.4 To plan and organize sufficient daily manpower and resources to support shipping activities effectively.
- 1.5 To ensure continuous improvement in documentation accuracy, process flow, and cost efficiency.
- 1.6 To liaise closely with internal stakeholders (warehouse, customer service, operations) for end-to-end shipment coordination.
- 1.7 To ensure corrective and preventive actions are implemented promptly for shipping-related issues.
- 1.8 To ensure all shipping-related reports are prepared and submitted to customers and management on time.
- 1.9 To comply with company policies, procedures, and work ethics at all times.
- 1.10 To accept any other duties or responsibilities as may be assigned by management from time to time.
2.0 Job Responsibilities (duties / Tasks)
2.1 Coordinate with freight forwarders, transporters, and customers on shipment arrangements, schedules, and documentation.2.2 Prepare and verify shipping documents such as invoices, packing lists, delivery orders, airway bills, and bills of lading.2.3 Ensure proper submission and filing of custom-related documentation (K1, K2, ZB1, etc.) and compliance with import / export regulations.2.4 Liaise with internal departments (warehouse, operations, customer service) to ensure timely cargo readiness and dispatch.2.5 Track and monitor shipment movement to ensure on-time delivery and resolve any delays or exceptions.2.6 Communicate proactively with customers on shipment status, discrepancies, or delays.2.7 Maintain shipping records and documentation in accordance with audit and company requirements.2.8 Support management in reviewing freight costs, negotiating with forwarders, and improving shipping efficiency.2.9 Ensure adherence to safety, security, and quality standards during shipping operations.2.10 Escalate to Management any issues related to carrier performance, customs clearance, or non-compliance.2.11 Provide timely and accurate shipping reports (daily / weekly / monthly) for management and customer review.2.12 Review and update Standard Operating Procedures (SOP) for shipping operations as and when necessary.2.13 Support corrective and preventive action plans for shipment or documentation discrepancies.2.14 Ensure effective communication across all levels—customers, internal teams, and external partners—to support service excellence.3.0 Job Specification (qualification, Experience, Skills, Attributes)
3.1 Minimum Diploma or Degree in Logistics, Supply Chain, or related field.3.2 Minimum 2 years of experience in shipping, freight forwarding, or logistics operations.3.3 Good knowledge of import / export documentation, customs regulations, and Incoterms.3.4 Fluency in English and Bahasa Malaysia (spoken and written).3.5 Strong coordination, planning, and problem-solving skills.3.6 Detail-oriented with high accuracy in documentation handling.3.7 Good communication and interpersonal skills with internal and external stakeholders.3.8 Ability to work under pressure and meet tight deadlines.3.9 Proficient in Microsoft Office (Excel, Word, Outlook) and ERP / WMS systems.To be considered for this position you must have valid rights to work and live in Malaysia.
