The Role
Support project delivery in a safe, efficient, and effective manner while helping drive JF Decom business objectives. The Project Coordinator will establish and maintain an integrated and efficient function for all Decom activities, bridging project, operations and finance departments worldwide.
Principle Accountabilities
- Support project team in meeting all HSE requirements in compliance with company procedures including but not limited to preparation of HAZID, HAZOP and HIRA processes.
- Following the completion of the tender handover process, support the project review of the “As sold” Cost, Time & Resource model and the preparation of the project control budget and baseline project schedule for approval by the Project Manager.
- Support the assigned project execution in compliance with the Product Line Integrated Management System.
- Update and input information regularly into Project Status Report “PSR”.
- Support project team in review of project costs and value of work performed against the project control budget, alert Project Engineer and / or Project Manager of any concerns as soon as they become apparent.
- Support project team with invoicing to expedite approval and issue promptly in accordance with the contract.
- Support and input into reviews of the project risk and opportunities register and also support project team in compiling variation orders prior to client submission.
- Support projects with procurement and raising project approved PO’s, supplier selection process in terms of cost, quality, compliance with contract specification and project schedule requirements.
- Updating the PSR to reflect raised PO’s and Invoice registers.
- Develop and maintain working relationships with internal service functions.
- Support project teams execution of project in compliance with the product line Integrated Management System.
- Support project budget and margin control (CTR’S) (Project Risk Assessments).
- Ensure Technician and equipment requirements are forecasted regularly to allow for asset and resource planning.
- Support the monitoring, tracking and reporting of all cost of poor-quality events and lessons learned throughout the project life cycle along with the completion of order sheets, job instructions, co‑ordinate maintenance and mobilisation in support of projects.
- Support the timely closure of the project including reconciliation of all PO’s and issuance of the final PSR confirming the gross margin outcome and cash collection and check updating of all project invoices.
In Addition
Completion and updating of documents as requested by Project Engineer and Project managers (e.g. sourcing forms / p.req).Support project creation in ERP system including the “On hiring” and “Off hiring” of jobs.Adding all of equipment / sales / personnel groups to rental contracts on the ERP system once project is live with client issued PO and updating ERP contract with all rates per the tender.Updating project and operations with mobilisation and FAT dates to ensure correct production schedule is printed.Creating and ensuring the timely response to the Internal workshop job requests on behalf of the project team.Support the timely closure of the project including reconciliation of all PO’s and issuance of the final PSR confirming the gross margin outcome and cash collection for review and approval of the Project Manager.Any administrative duties required by the decom / technical departments.Liaise with Equipment Supervisor, Workshop Manager and office staff to ensure prioritisation of workload.Attend daily gemba / project update meetings.Provide updates on project status, changes in scope and 3rd party resources.Participate in technician pre‑mobilisation briefings as required.Qualifications and Experience
Previous project support experience in projects operations and / or finance.
Professional and focused approach at all times, with a positive and proactive attitude.
Proficient IT skills with MS Office Apps and ERP systems.
