Responsibilities :
- Verify and process non-trade invoices for payment.
- Monitor the inventory for stationeries and office supplies – purchases & replenishment.
- Perform data entry in system for receivables, non trades & petty cash.
- Deal with authority for licensing matters such as MBJB, MPOB, LGM, Pharmacy & Pesticides.
- Liaise with DOSH on workplace safety matters and with DOE on environmental compliance.
- Liaise with Custom Dept for duty / sales tax drawback & quarterly reports.
- Assist Head of Admin for training related matters.
- Deal with Bomba Dept for FC renewal & fire safety training.
- Handle office petty cash – payments, reimbursement & reporting.
- Coordinate the courier arrangement, incoming & outgoing mail.
- Monitor the rental payment from tenants – update, record & issuing receipts.
- Monitor the contract cleaning service – record and payment.
- Monitor the building maintenance, upkeep of warehouse equipments.
- Coordinate safety and health activities as per company and regulatory guidelines.
- Coordinate staff-related activities such as festive celebrations, birthdays, and recreational events.
Requirements :
Possess at least Diploma in Business Administration or equivalent.2-3 years working experience in Administrative work is required.Proficiency in basic computer software. Eg : Microsoft Office.Positive work attitude, strong sense of commitment and good time management abilities.Detail-oriented in proofreading documents, scheduling appointments and maintaining accurate records.Possess strong sense of responsibility and alertness in meeting reporting deadlines.Experience in dealing with government department such as Local Council, Bomba, Customs, Pharmacy, LGM, DOSH, DOE etc would be an added advantage.Your application will include the following questions :
