Responsibilities

  • Answer and transfer telephone calls within three rings.
  • Responsible for front desk functions and guest reception.
  • Ensure calls are transferred to the correct person and extension.
  • Take note of telephone messages and relay them to the respective staff.
  • Prepare meeting rooms and handle room bookings, prioritising top management.
  • Manage the telephone system and ensure it is working at all times; report faults promptly.
  • Attend to all clients, guests and visitors at the reception counter with proper greetings and smiles.
  • Coordinate with courier service companies to ensure timely pickup of documents / parcels.
  • Ensure the reception area is clean and tidy at all times; do not leave the desk empty and unmanned.
  • Ensure newspapers delivered by the vendor are counted and in order; report shortages.
  • Provide administrative support as and when assigned.
  • Perform other tasks related to instructions from Management and / or immediate Superiors from time to time.

Requirements

  • At least 2 years’ experience in receptionist or administration work.
  • Proficiency in MS Office suite – Excel, Word, PowerPoint.
  • Proficiency in spoken and written English and Bahasa Malaysia.
  • Good attributes, energetic, self‑motivated, analytical, resourceful, strong integrity.
  • Good working attitude and willingness to travel.
