Overall Job Scope
Supports project managers by providing administrative and logistical support for events, including managing timelines, budgets, vendor relationships, and event documentation.
Key Responsibilities
Project Planning & Coordination :
- Assist in developing detailed event plans, including project charters, communication plans, and risk assessments.
- Contribute to setting event objectives, themes, and target audiences.
- Manage event timelines, track progress, and ensure deadlines are met.
Logistics & Operations :
Help with vendor selection, contract negotiation, and securing necessary permits.Coordinate event logistics, such as venue bookings, catering, audio-visual, and technical support.Assist in managing attendee lists, handling RSVPs, and sending invitations.Administrative Support :
Maintain project documentation, meeting minutes, and progress reports.Help create and update event budgets and monitor expenses.Use project management software for task tracking and documentation.Communication & Collaboration :
Facilitate communication among internal teams, stakeholders, vendors, and clients.Assist in preparing and delivering team meetings and presentations.Act as a central point for coordinating information and requests from different parties.On-site & Post-Event Support :
Provide support during event set-up, execution, and breakdown.Assist in collecting and analyzing post-event feedback to assess success and identify areas for improvement.Help prepare final reports and evaluations for stakeholders.
