Front Desk Receptionist / Customer Service Assistant
SOMA WELLNESS is seeking a professional, service-oriented, and client-focused Front Desk Receptionist / Customer Service Assistant to join our team. In this full-time role, you will serve as the first point of contact for our clients, delivering exceptional customer service, handling administrative duties, and supporting smooth daily operations. You will play a vital role in creating a welcoming, professional, and organized front-of-house environment that reflects our commitment to excellence.
Responsibilities
- Greet and welcome clients and visitors, ensuring a professional and positive first impression
- Manage appointment bookings (walk-in, phone, and online) accurately and efficiently
- Provide clear and accurate information regarding services, promotions, and therapist availability
- Handle customer inquiries, feedback, and complaints with professionalism and courtesy
- Respond to phone calls, emails, and other inquiries, directing them appropriately when required
- Provide administrative support including filing, photocopying, and data entry
- Maintain a clean, tidy, and professional reception area
- Assist with handling payments, including cash, credit / debit cards, and other financial transactions
- Stay updated on SOMA WELLNESS services, promotions, and policies to assist clients effectively
Administrative & Operational Support
Accurately process all payment transactions (cash, credit / debit card, e-wallets)Maintain and update client records, tracking preferences to enhance service deliveryPrepare and submit daily reports in compliance with SOPsOpen and close the centre according to the duty roster, ensuring operational readiness and security procedures are followedCarry out additional administrative and operational duties as assigned by managementCoordination & Team Communication
Coordinate with massage therapists to ensure smooth workflow and minimize client waiting timesCommunicate effectively with team members to manage daily schedules and promptly resolve operational issuesEnsure the cleanliness, organization, and professional appearance of the reception, waiting area, and overall outlet spaceQualifications
Previous experience in customer service or administrative roles, preferably in wellness, healthcare, or hospitalityExcellent communication and interpersonal skills with a professional and courteous demeanorStrong organizational skills with the ability to multitask and prioritize in a fast-paced environmentProficiency in Microsoft Office and standard office equipmentDetail-oriented, professional, and client-focused attitudeFluency in English and Bahasa Malaysia (spoken and written)What We Offer
