UCT is looking for a talented Office Assistant to join us in Malaysia . The Office Assistant performs clerical duties to help an office run smoothly and efficiently. Their duties include taking care of canteen, employee transportation, arranging company event, & provide clerical and administrative support to Human Resources etc.

Essential Duties And Responsibilities

  • In charge for cafeteria

Manage / monitor cafeteria and resolve any related issues coming from Management and Employees.

  • Verify monthly invoice submit by caterer and raise PR.
  • In charge and liaise with caterer on UCTM event, e.g. Hari Raya, CNY, Deepavali & Xmas
  • Food arrangement for visitors / customers
  • Ordering kitchen chemical for caterer usage to clean the kitchen.
  • Responsible for the safety, health, hygiene, and general welfare of all the cafeteria / caterers.
  • To make sure cafeteria system is always in good condition for employees to scan their badge for the daily free meals base on company subsidy.
  • Work closely with facility / maintenance / EHS team and coordinate for cafeteria facilities / maintenance and equipment maintenance, replacement, or repairs.
  • In charge for transport
  • Handle employee transport arrangements.

  • Communicate with the transporter on the complaint and other issues.
  • Deal with employee who needed the transport and arrange for them according on location needed.
  • Receive and verify monthly invoice and raise the PR.
  • UCTM event
  • Handle any event for company (celebration / goodies bag / decoration).

  • Communicate with vendors / suppliers for the event base on management requirement.
  • Involved and committee for any events in company.
  • Source purchased and deal with supplier for any event / gifts for employees.
  • Provide clerical and administrative support to Human Resources executives.
  • Raise monthly payment for caterer, transporter, Insurance, Panel clinics, Worker Agency and etc. – will create PR / PO in SAP system and follow up with the approver (GM) and to make sure payment has been made to the supplier or vendors base on company terms.
  • Liaise with HR Department on staff attendance and other staff matter.
  • Liaise with training provider for teambuilding activities or any outside vendors for employee activities.
  • Support employee engagement activities such as sports club and teambuilding in the Company.
  • Keep track and monitor foreign worker’s ESD / passport renewal.
  • Deal with PosLaju for EP Sticker delivery.
  • Preparation for customer or visitors during visit.
  • To deal with relevant authorities for relevant matters.
  • Support general office management including supplies, cleanliness, etc.
  • To keep in stock for benefit and monitor inventory stationaries.
  • Support recruiter for hiring :
  • Arrange online interview with the candidate / Interviewer.
  • Entertain candidate during walk in interview.
  • Prepared offer letter for the hired candidate.
  • Call and offered candidate, to explain all the company benefits and follow up with them base on timeline given.
  • Manage documentation & responsible keep records.
  • Knowledge, Skills And Abilities

  • Proactive self-starter with an analytical mind and problem-solving skills.
  • Able to work independently.
  • Computer Skills : MS Excel, MS PowerPoint, MS Word, able to interact and communicate well with colleagues.
  • Possess good work attitude and able to work under tight deadlines.
  • Possess a valid driving license (if any).
  • Required language : English & Bahasa Malaysia (if with Mandarin will be good).
  • Educational / Certification Requirement

  • Candidate must possess at least a Professional Cert and Diploma OR equivalent related experience.
  • Experience Requirement

  • At least 2-5 Years of working experience in the related field.

  • Required to wear personal protective equipment where applicable.
  • Subject to frequent interruptions.
  • The ability to talk on the phone and use a computer for extended periods may be required.
  • May involve exposure to moderate noise levels from printers, faxes, computers, etc.
  • Overnight Travel

  • Work may require out-of-town travel depending upon assignment (training and meeting).
