Senior Associate – HRO (Event Management) (German Speaker)
Join as Senior Associate – HRO (Event Management) – German Speaker at DHL Express. This role supports global learning event coordination for the International Training & Development Services – Global Learning Event Management (GLEM). Based in our Shared Service Center in Petaling Jaya, you will coordinate logistics, hospitality, communications, and systems for virtual and in‑person events, ensuring a high‑quality participant experience.
Key Responsibilities
- Event Coordination – Set up and coordinate global learning events (classroom and online) using DHL Group LMS; distribute invitations, pre‑work materials; coordinate logistics including meeting rooms, accommodation, hospitality.
- Virtual Event Production – Serve as technical producer during virtual learning sessions, support facilitators with setup and delivery; monitor attendance and troubleshoot technical issues.
- On‑Site Event Support – Provide on‑site coordination during in‑person events, manage venue and hotel service quality, and resolve issues to maintain event integrity.
- Supplier & Financial Handling – Liaise with external vendors, oversee compliance with contracts, track and process invoices, and support financial queries.
- Promotion & Advisory – Promote learning opportunities across the organization and act as primary contact for training inquiries.
- Reporting & Data Processing – Maintain accurate event records and enter data into EMMA, HR Case Management, and DHL Group LMS; contribute to management reporting.
- Continuous Improvement – Participate in initiatives to enhance business partner satisfaction and improve processes.
- Material Coordination – Ensure availability of training materials, manage ordering and preparation, and coordinate with vendors.
Qualifications
Strong organizational and coordination skills : able to manage multiple events and tasks simultaneously with attention to detail.Excellent communication skills, written and verbal, to interact professionally with participants, facilitators, and stakeholders.Technical proficiency : comfortable using virtual meeting platforms (e.g. MS Teams), Learning Management Systems (LMS), and Case Management systems.Problem‑solving mindset : able to troubleshoot issues independently and escalated when necessary.Customer service orientation : responsive, empathetic, and focused on delivering a high‑quality participant experience.Time management : able to prioritize effectively and meet deadlines in a fast‑paced environment.Team collaboration : works well in a multicultural, global team setting and contributes to shared goals.Knowledge & Experience
Familiarity with event logistics and hospitality coordination, both virtual and in‑person.Understanding of HR operations and training processes, including supplier handling and financial tracking.Experience with data entry and reporting, ideally in a corporate or shared services environment.Knowledge of continuous improvement methodologies (e.g., First Choice or Lean Six Sigma) is a plus.Awareness of compliance and procurement processes when working with external vendors.Personal Attributes
