Ideas International is hiring! We are looking for a highly organized, resourceful, and proactive HR & Office Management Assistant to join our team. This role plays a key part in ensuring the smooth running of school operations, supporting the academic and administrative teams, and fostering effective communication across departments.
Position Overview
The HR & Office Management Assistant works closely with the management and administrative team to manage staff onboarding, HR compliance, academic coordination, and day-to-day school operations. This position bridges the gap between academic and administrative functions to promote efficiency, quality, and a supportive school culture.
Key Responsibilities
- Support the Head of Operations in maintaining operational standards, reports, and staff communication
- Manage staff onboarding processes and implement the policies for teachers
- Track mandatory training completion (e.g., Child Safety and PSEA / SEA trainings) for staff
- Collaborate with admin staff to support teachers, manage shared resources, and improve internal workflows.
- Oversee operational logistics including maintenance, facility readiness, and movements.
- Draft official documents, internal communications, and policy updates.
- Assist in recruitment, reference checks, and new staff documentation.
- Coordinate events such as teacher meetings, orientations, and school social activities.
- Manage inventory, facility reporting, and incident documentation.
- Liaise with external partners and other educational stakeholders as and when needed.
Requirements
Bachelor’s degree or equivalent qualification in Education, Administration, Management, or HRExperience in school operations, human resources, or project coordination preferredExcellent organizational, documentation, and communication skillsProficiency with Google Workspace (Docs, Sheets, Forms, Drive)Strong attention to detail, professionalism, and confidentialityAbility to multitask and coordinate across academic and administrative teamsA collaborative and solutions-oriented approachContract Details
