Invoicing Coordinator – Wilhelmsen Marine Product, Kuala Lumpur. The position is based in our Kuala Lumpur office, reporting to the Invoicing Team Lead and collaborating with Customer Services and the credit team.
Responsibilities
- Complete a basic check on all invoices including delivery notes, products and quantities supplied, prices, charges, discounts, etc.
- Liaise with Customer Services regarding missing terms and prices and with the supply chain for missing or doubtful delivery notes, quantities, costs and charges.
- Match the relevant delivery receipt note to the invoice when applicable.
- Match the relevant supporting documents for cylinder invoices.
- Coordinate and control dispatch of electronic invoices to the assigned customer portfolio as per guidelines and within the set performance timeframe.
- Send manual invoices to the printer in local Customer Services as soon as invoices are correct and ready for dispatch to minimize invoice lay days.
- Provide first point of contact for Customer Services regarding missing invoices and copy invoice requests.
- Escalate to Invoicing Manager and respective Customer Services for electronic invoice dispatch failures and late invoices / delivery receipt notes.
- Follow up complaints / non-conformances through the improvement / complaint system in place.
Qualifications and Experience
3 years of formal education in business / economics or finance, or relevant working experience.Fluent in English – both written and spoken.Good planning and organisational skills.Performance Metrics
