Personal Assistant to Chief Executive Officer

Role Description
- Manage the Chief Executive Officer’s personal and professional duties such as calendar management, meeting coordination, correspondence, emails, travel arrangements, etc.
- Oversee administrative functions of the Director’s office to ensure smooth daily operations, including procurements, flight booking, hotel accommodation, company events, and restaurant arrangements.
- Serve as the primary point of contact for internal and external stakeholders, screening and managing correspondence. Draft, review, and edit emails, reports, presentations, and other documents on behalf of the CEO when required.
- Build and maintain positive relationships with internal teams, external partners, clients, and other stakeholders. Act as a liaison between the CEO and various departments to facilitate communication and collaboration.
- Provide general administrative support to the CEO, including managing expenses, processing invoices, and maintaining accurate records. Handle confidential information with discretion and professionalism.
- Assist with special projects and initiatives as assigned by the CEO. Conduct research, gather data, and prepare reports to support decision‑making and strategic planning.
- Maintain a proper and systematic filing & work system and ensure effective document control for easy access and retrieval when required.
- Accountable for following through on all matters requiring execution of action plans and ensuring the team achieves task deadlines.
- Undertake special assignments, ad‑hoc functions and related duties assigned by management.
- Remind the CEO of important tasks and deadlines.
Qualifications
Bachelor’s degree in Business Administration, Management, or related field (preferred).Proven experience as an executive assistant, personal assistant, or similar role supporting C‑level executives.Exceptional organisational and time‑management skills with the ability to prioritise tasks and meet deadlines.Strong written and verbal communication skills, with a high level of professionalism and attention to detail.Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.Discretion and confidentiality in handling sensitive information and dealing with confidential matters.Ability to work independently with minimal supervision and adapt to changing priorities in a dynamic environment.Willing to work beyond regular hours when required to support the Director’s schedule.Proficiency in Mandarin will be an added advantage.Seniority Level
