Job Description : Learning Operations (LO) is part of People, Communication & Culture (PC&C), sitting within Operations & Advisory, reporting to the Regional Service Owner (RSO) to provide a positive colleague experience. Entity : People, Culture & Communications. Job Family Group : HR Group. LO is responsible for learning implementation, the end-to-end coordination and delivery of training internally, including providing support. Day-to-day activity is managed through systems; Salesforce and Cornerstone. This position is responsible for the end-to-end management of logistical and delivery activity in line with the Learning Value Chain (LVC); ensuring that all tasks associated with setup, planning, training sessions and record maintenance, learning object creation are performed to a high standard and within the agreed timeframe. This role reports directly to the Learning Operations Team Lead.
Key Accountabilities And Challenges
- Provisioning of goods and services required to support the rollout of training sessions. Identify and raise risks and issues, providing potential solutions to mitigate.
- Scheduling trainers and faculty in support of training sessions; liaising with multiple individual faculty and faculty vendors.
- Select and confirm appropriate training venues against defined criteria. Exercise judgement balancing requirements, including budget, when confirming choice.
- Timely ordering of training materials and management of special training requirements, including virtual or physical materials, IT services or catering; ensuring required tools are available.
- Administer sessions, completing all session-related tasks in Salesforce; ensure training records in Cornerstone are updated accurately and within agreed timeframes.
- Process training assignments via Salesforce workflow into My Talent & Learning using appropriate training matrices and adhering to operating model and delivery standards.
- Record costs (estimated and actual) for all goods and services contracted against a session and follow up for invoicing within agreed timescales.
- Validate learning costs and actuals across multiple payment systems (Ariba, Backbone, Fieldglass and Concur) and back-charge to the correct cost centre.
- Process Upfront Agreements (UFA) with Inter-company teams promptly and accurately.
- Maintain absolute accuracy of information held in Salesforce and Cornerstone.
- Create and manage learning objects with thorough testing and validation checks.
- Reflect session schedule changes in Salesforce and communicate to vendors, learners and faculty.
- Provide clear and accurate communication to all learning audiences via Salesforce, delivering full customer service to learners, partners, vendors, and colleagues through strong case management practices.
- Support preparation audits by reviewing and updating process documentation.
