Overview
The Admin Cum Document Controller provides comprehensive administrative and document control support to the LSS 5+ Solar Project team by ensuring efficient management of project documentation, compliance with company and regulatory standards, and smooth coordination of administrative tasks. The role safeguards accurate records, facilitates effective communication across stakeholders, and contributes to timely project delivery.
Responsibilities
- Document Control & Records Management
- Establish, implement, and maintain document control procedures for the project.
- Register, track, and update all incoming and outgoing documents, drawings, reports, permits, and contracts.
- Ensure proper version control, document numbering, and distribution in line with project protocols.
- Maintain electronic and hardcopy filing systems for easy retrieval and audit readiness.
- Monitor submission deadlines for technical documents and ensure timely responses from project stakeholders.
- Project Administration Support
- Prepare and format reports, presentations, meeting minutes, and project status updates.
- Schedule, coordinate, and support internal and external project meetings.
- Manage travel arrangements, claims, and logistics for project team members when required.
- Track project deliverables, milestones, and follow up on pending actions with team members.
- Support the project team with data entry, documentation updates, and administrative processes.
- Stakeholder & Communication Coordination
- Liaise with contractors, consultants, suppliers, and internal departments to ensure accurate and timely submission of required documents.
- Act as a point of contact for document queries and clarifications from internal and external stakeholders.
- Ensure all stakeholders are updated on document status (submissions, approvals, rejections, pending).
- Assist in resolving documentation issues by coordinating with engineering, procurement, and site teams.
- Compliance & Quality Assurance
- Ensure adherence to company standards, project governance, and ISO / document control requirements.
- Conduct regular checks to verify accuracy, completeness, and compliance of documents.
- Support project audits by preparing and providing requested documentation.
- Track and highlight any bottlenecks or delays in document workflows and escalate when necessary.
Qualifications, Experiences, Skills & Competencies
Diploma / Degree in Business Administration, Project Management, Engineering, or related field.Certified Document Controller (CDC) or equivalent.ISO 9001 / ISO 14001 / ISO 45001 awareness or internal auditor certification.Proficiency in EDMS platforms such as Aconex, SharePoint, or equivalent.Safety & compliance training (OSHA, EHS awareness) is an added advantage.2–4 years of experience in administrative support and / or document control, preferably in large-scale infrastructure, construction, or renewable energy projects.Experience with LSS or solar project documentation is an advantage.Strong organizational and time-management skills.High attention to detail and accuracy in document handling.Proficiency in MS Office Suite (Excel, Word, PowerPoint) and document control systems (Aconex, SharePoint, etc.).Effective communication and interpersonal skills to liaise with multidisciplinary teams.Ability to multitask, work under pressure, and meet tight deadlines.Willingness to be based at project sites and travel when required.Strong sense of confidentiality and integrity in handling sensitive documents.Team player with adaptability in a dynamic project environment.#J-18808-Ljbffr
