Payroll Specialist, Human Resources, Malaysia
The Payroll Specialist role is responsible for managing the end-to-end payroll process to ensure accurate and timely payment of salaries, statutory contributions, and related benefits. This role requires strict adherence to statutory regulations, internal policies, and data confidentiality standards.
Main Responsibilities :
- Perform comprehensive payroll operations, including data collection and maintenance in the system, payroll calculations and validations, and the processing of payment requests and deliveries in an accurate and timely manner.
- Collaborate with local authorities (LHDN, KWSP, PERKESO, LHDN, Zakat) and payroll service providers on pension, social insurance, tax, and other statutory matters.
- Prepare various payroll-related reports such as reconciliation, movement, headcount, pay summary, cost center allocation, and payroll breakdown reports.
- Maintain accurate and up-to-date payroll records and staff information in HRIS and payroll system.
- Coordinate with external vendors to ensure smooth payroll operations.
- Update and maintain payroll guidelines and procedures.
- Participate in internal and external payroll audits.
- Support year-end processes such as EA form issuance, tax submission, and reporting.
- Handle payroll-related queries from employees in a timely and professional manner.
Requirements
Diploma or Bachelor’s degree in Human Resources, Accounting, Finance, or related field.Professional payroll certifications (e.g., CPP, PCP, or equivalent) are an advantage.Minimum 2–3 years of hands-on end-to-end payroll processing experience, preferably in a MNC or large workforce environment.Experience using payroll software (e.g., BIPO, SAP, Workday, HR2000, UBS or similar).Proficient in Microsoft Excel (pivot tables, VLOOKUP, and formulas) and data analysis.High attention to detail and accuracy.Strong confidentiality and data protection ethics.Excellent time management skills to meet tight deadlines.Analytical problem-solving skills.Good interpersonal and communication skills.Ability to adapt to regulatory and system changes.DSV is an equal opportunities employer and welcomes applications from all qualified candidates.
