Job Brief

Effectively assist Director of Sales & Marketing and Sales Managers in general administration and executing sales coordination of all enquiries in a most professional and effective manner.

Job Responsibilities

• Assist Director of Sales & Marketing and Sales Managers in answering telephone inquiries, preparing contract letters or proposal letters for all market segments and handling general administration.
• Ensure overall effective office administration, maintain cleanliness at all times, and uphold the display areas and display items.
• Ensure all enquiries and correspondences are replied within the stipulated time. Conduct effective follow‑ups for such enquiries.
• Ensure sufficient stock level of stationeries; give away items, collateral and brochures.
• Ensure all office equipment are in working condition e.g. computers, photocopy machine or printer.
• Effectively utilize the standard forms and letters to ensure that such forms and letters are presented in a most professional manner.
• Maintain an effective account and account management through PMS & OSEM and be fully competent with operating PMS & OSEM.
• Ensure that all client data input in the PMS & OSEM is accurate and updated.
• Prepare corporate rate letters on newly signed up accounts and update profile into PMS efficiently.
• Ensure that corporate rate letters, correspondence and other important documentation are prepared in meticulous detail and presented in the most professional manner.
• Issue group resume and banquet event order (actual or draft) upon receiving confirmation & reconfirmation of events from organiser.
• Issue banquet event order at the stipulated time and ensure it shall be issued 5 working days before event date except last minute event shall be issued within the day or less than 24 hours before event date.
• Update event list with required details at all times. The data & details on the event list shall be correct at all times and readily to be exact when it is needed.
• Ensure that group resume, site inspection, VIP list and other important information are distributed to support department in a timely manner.
• Ensure proper filing at the end of each day and mailing out letters.
• Perform any other duties assigned by the Director of Sales & Marketing and Sales Manager from time to time.
