Job Summary
The Purchasing Executive is responsible for sourcing, negotiating, and procuring goods and services to support operations. This role plays a key part in daily procurement tasks, coordinating with internal departments and suppliers, and supporting continuous improvement initiatives, ensuring cost-effective, high-quality, and timely deliveries while maintaining strong supplier relationships.
Key Responsibilities
- Strategic Sourcing & Negotiation – Source and evaluate suppliers, negotiate pricing and service terms to achieve cost savings and high‑quality, timely procurement standards, and build and maintain strong key supplier relationships to support smooth operations.
- Daily Procurement Operations – Manage daily purchase requisitions (PR) and prepare purchase orders (PO) accurately while monitoring all open orders to ensure on‑time delivery; coordinate with suppliers for order confirmations, delivery schedules, shipment updates, and resolution of any discrepancies.
- Data & Documentation Management – Maintain up‑to‑date supplier information, catalogues, pricing sheets, and color charts in an organized system; input procurement‑related data into the ERP system and ensure accurate record‑keeping of all contracts, POs, invoices, and related documents; support procurement reporting and analysis to aid strategic decision‑making.
- Project & Process Support – Assist in procurement‑related projects by coordinating with suppliers, tracking key milestones, and following up on pending tasks; research and assess new suppliers, market trends, and pricing to support sourcing strategy; contribute ideas to optimize procurement processes, increase efficiency, and reduce operational costs; communicate effectively with Production, Sales, Warehouse, Logistics, and Finance teams to ensure seamless flow of materials and information; provide timely updates on order status and supply risks to relevant stakeholders; undertake additional tasks as assigned to support departmental objectives.
Job Requirements
Diploma / Degree in Supply Chain Management, Procurement, Business Administration, or related field.Minimum 2 years proven experience in procurement, purchasing, or sourcing; experience within office furniture or related industry preferred.Good command of English & Bahasa Malaysia; ability to speak Mandarin is an added advantage.Proficient in Microsoft Office (Excel, Word & PowerPoint) and familiar with procurement tools.Strong negotiation skills, positive working attitude, and attention to detail with the ability to manage multiple tasks under tight deadlines independently.Perks and Benefits
