The Secretary / Executive Assistant provides high-level administrative support to senior executive and management
The role ensures smooth day-to-day operations, effective time management, and professional coordination of meetings, communications, and documentation, while maintaining strict confidentiality and discretion.
Key Responsibilities
Administrative Support
Manage executive's calendar, schedule appointments, and coordinate meetings, travel arrangements, and events.
Prepare agendas, take minutes, and follow up on action items from meetings.
Draft, review, and manage correspondence, reports, and presentations.
Maintain accurate filing systems (digital and physical) and ensure easy retrieval of documents.
Communication & Coordination
Serve as the primary point of contact between executives, internal teams, and external stakeholders.
Screen calls, emails, and requests, handling them directly when appropriate.
Coordinate with other parties to ensure smooth workflow and timely completion of tasks.
Confidentiality & Professionalism
Handle sensitive information with discretion and integrity.
Maintain confidentiality of corporate, personnel, and strategic matters.
Operational Efficiency
Assist in preparing budgets, expense reports, and procurement requests.
Monitor deadlines and track progress on key projects.
Proactively identify opportunities to improve processes and support business efficiency.
Qualifications & Requirements :
Diploma / Degree in Business Administration, Office Management, or related field.
Proven experience (2–5 years) as an Executive Assistant, Personal Assistant, or Secretary, preferably in a corporate environment.
Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills in (English and Malay / Chinese / Tamil).
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
Ability to work independently, exercise discretion, and maintain a professional demeanor under pressure.
Salary
