Finance & Administration Manager (Full-Time)
FIA is seeking an experienced and proactive Finance & Administration Manager to oversee the organisation’s financial management and administrative functions. This full-time role is ideal for someone who thrives in a dynamic, multi-stakeholder environment and is passionate about supporting FIA’s regional mission across Asia.
Key Responsibilities
Finance & Accounting
- Manage full sets of accounts and daily financial operations.
- Prepare and monitor annual budgets, forecasts, and cash flow.
- Manage quarterly budget planning and assist the CEO in preparing the annual budget.
- Prepare and present financial reports and forecasts for the CEO before quarterly Board and Committee meetings.
- Handle invoicing, supplier payments, and reimbursements with high accuracy and timeliness.
- Process monthly payroll, statutory contributions (EPF / SOCSO), and staff claims.
- Oversee bank payments through HSBCnet and ensure internal approval controls.
- Perform regular bank reconciliations and maintain accurate accounting records in Xero.
- Coordinate and support the annual financial audit process and liaise with auditors.
- Prepare quarterly GST / SST filings and annual returns to the Registry of Societies or relevant authorities.
- Liaise with external auditors, tax agents, and banks.
- Ensure compliance with financial, tax, and society regulations in Malaysia and Singapore.
Administration & HR
Manage general office administration and ensure efficient internal processes.Administer HR-related activities using the HR Easily platform (employee records, leave, claims, etc.).Maintain administrative and financial documentation, contracts, and governance files.Support staff onboarding, coordination of travel, and office logistics.Liaise with vendors, suppliers, and building management.Association & Events Support
Support FIA’s activities, events, and meetings — including finance coordination for venues, payments, and registrations.Work closely with the operations and policy teams to ensure smooth event execution and financial accountability.Engage positively with members, partners, and stakeholders in across Asia.Key Requirements
Degree in Accounting, Finance, Business Administration, or related field.Professional qualification (ACCA, CPA, or equivalent) preferred.Minimum 5 years of relevant experience in finance, accounting, or administration.Strong proficiency in Xero, HR Easily, and HSBCnet payment systems.Knowledge of Malaysian and Singaporean company, taxation, and association legislation.Experience in associations or non-profit organisations is highly desirable.Excellent organisational, analytical, and problem-solving skills.Strong written and spoken English; proficiency in Bahasa Malaysia or Mandarin is an advantage.Positive, proactive, and collaborative attitude.High attention to detail, with the ability to work independently and manage multiple priorities.Open to candidates based in Singapore, Johore and Kuala Lumpur.Seniority level
